OVERVIEW

You’ll provide proactive calendar support, juggling multiple deliverables with competing deadlines and take effective action, sometimes without knowing the full picture. You’ll partner with executives to drive execution on team initiatives in support of business priorities. You’ll serve as a confident point person for Spectra Logic Executives, their direct reports and the administrative business partners in the organization. The successful Executive Assistant will always handle themselves with composure and absolute confidentiality.

Compensation – $70,000 – $85,000 / year salary

Employment Status: Exempt

What you’ll be doing:

  • Complete a variety of everyday tasks for the CEO and his leadership team including, but not limited to, managing complex and busy calendars.
  • Organize and assist with special events, team activities and successful meeting.
  • File and approve regular expense reports through WebExpenses.
  • Manage and book travel through our corporate travel agent, Egencia.
  • Act as a point person for the CEO’s direct reports, building strong relationships across his team to progress your executive’s priorities and address difficult situations as needed.
  • Draft presentations, coordinate oral and written communication for executives.
  • Schedule and coordinate logistics for meetings, conferences and occasional special events (onsite & offsite), including ongoing department meetings and events when the leadership or staff is traveling.
  • Work with CEO/Sales VP to coordinate annual Sales and Tenure Awards.

What you need to bring to the table:

  • 10-15+ years’ experience supporting senior level executives with the ability to make good decisions in a fast-paced environment with changing priorities.
  • Superior attention to detail and consistent follow-up. High level of integrity and discretion in handling confidential information; strong verbal and written communication skills along with excellent organizational skills.
  • Demonstrated ability to build cross-functional relationships, partner closely with leaders and keep multiple teams and projects on track in parallel. Ability to balance the needs of multiple senior leaders and longer-term projects.
  • Plan and facilitate virtual, in person, or hybrid leadership summits and team building events.
  • Flexibility to be available beyond normal office hours and support remote work and travel schedules. In office presence will be required. Remote work on approximately half of Fridays will be considered.
  • Strong proficiency with Microsoft suite of business programs, especially Outlook Calendar and Mail.

Considered but not required

  • Experience with Egencia and WebExpenses.

Interview process

There will be 3 steps. You’ll initially meet with the recruiter via Zoom, then several persons in the senior leadership team, then with the CEO.
