Job Description
This position is responsible for providing administrative and stakeholder engagement support to the Vice President, Government Affairs, Latin America, which includes working in a fast-paced, bi-lingual environment, managing multiple projects, complex calendars, scheduling and communicating detailed travel itineraries, reconciling expenses, handling calls, and responding to correspondence (in Spanish, when necessary), escalating issues etc. The ideal candidate must work thoughtfully, efficiently, and professionally, across a variety of internal business partners and external stakeholders, including representatives of government, community organizations, industry partners, etc., to always establish strong working relationships while living our Culture Essentials.
ESSENTIAL FUNCTIONS:
- Research domestic and international travel options, book flights, hotel, transportation and secure all logistics and meeting details, typically in coordination with ministries of tourism or other government partners. Ensure the VP is ready for travel by documenting Outlook calendar accordingly and preparing a travel packet which includes a written detailed travel itinerary with scheduled meetings, destination one pager, etc.
- In collaboration with the VP, the brands’ Events teams and GPDD regional managers, manage the stakeholder engagement calendar once it has been approved to ensure events are executed accordingly, i.e., invitations are extended with timely notice, confirming RSVPs, communicating boarding protocols (i.e., visitors list and boarding documents), securing pictures of the events and sharing them with Corp and brand PR for promotion purposes.
- Provide administrative support to the VP, including responding to calls and correspondence (translating to Spanish, when necessary, letters, emails, news releases, sustainability highlights report, etc.), creating PPT presentations/project briefs and Excel spreadsheets, reconciling T&E statements on a timely basis, and handling confidential materials and personal matters with the utmost degree of care, integrity and discretion.
- Coordinate the execution of sustainability projects at our destinations by working with our brands, regional managers or other gov’t, community, and destination partners, like Rotary Club, local food banks, hospitals, foster homes, etc.
- Proactively manage complex calendars and global schedules, following up on meeting invites to ensure meetings are scheduled on a timely basis.
- Create and maintain a database of contacts to include federal, state and municipal government officials, chambers of commerce, tour operators and other local business partners.
- Manage invoice payments for external consultants and track expenses, including approved community donations, on Excel spreadsheets.
QUALIFICATIONS:
- Minimum Education: Bachelor’s Degree
- Discipline/Major: Business or Hospitality
- Required Certifications: Senior level executive administrative support with 10+ years of demonstrated accomplishments.
- Required Years and Area of Professional Experience: Proficiency in the Microsoft 365 Office Suite (Including Excel, PowerPoint and Word).

- Must be able to work with various schedules as the job demands including weekends and late hours on an emergency basis.
- Must be fully bilingual (English/Spanish; read/write and speak).

Travel: Less than 25% with shipboard travel likely.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

The range for this role’s hourly rate is $21.16-$34.60. Offers to be selected candidates will be made on a fair and equitable basis, taking into account specific job-related skills and experience.
