Description

**Seeking Michigan based candidates with law firm or corporate legal department experience and contract management database management experience. **

In support of Gift of Life Michigan’s mission, vision and core values, the employee is professional, determined, and compassionate. The incumbent shall be the principal administrative support for the Senior Leader(s) they are assigned to support. This includes schedule coordination, communication assignments, report writing, meeting planning, and other supporting tasks. The incumbent shall also serve as back up to other administrative support personnel and assist Gift of Life Michigan management as necessary.

Essential Job Functions:

  1. Provide administrative support for the Senior Leader(s) assigned to support including maintaining the Senior Leader’s schedule; correspondence; expense reporting; travel, meeting planning and arrangements; report writing; database and word processing assignments; and filing.
  2. Support tasks for the department(s) under the purview of the Senior Leader(s) the incumbent is assigned to.
  3. As needed, open and prioritize mail and faxes, schedule meetings and prepare meeting notes and minutes.
  4. Plan, schedule, and coordinate conference calls and on-site meetings as assigned.
  5. Primary meeting recorder for board and committee meetings as assigned. Maintain current board and committee records as assigned, including signed conflict of interest acknowledgement forms. Appropriately file and archive records in a systematic and timely manner.
  6. Serve as principal administrator for assigned boards and committees in the online board portal. Ensure that materials and information for the governing bodies are accurate. Maintain an accurate calendar of meetings, resources and board/committee membership. Facilitate access to board and committee materials and provide training as needed.
  7. Act as a liaison with ITS and other support departments when appropriate. Serve as the department support for software programs, audio visual equipment, office systems and other shared resources.

Qualifications

A high school diploma or equivalent is preferred. Some college course work in business administration is preferred as is previous administrative work experience, preferably in health care administration or in an executive office. Excellent working knowledge of: Microsoft Office and Adobe Acrobat is preferred.
