Executive PhD Program Coordinator

Position Summary

The University of Denver is seeking a part-time Coordinator to support the Executive PhD Program. This is a benefited part-time position and will report to the Director of the Executive PhD Program.

Essential Functions

  • Track candidate progress during recruitment. Follow up with candidates proactively and directly to ensure they have submitted all necessary materials to enroll in the program.
  • Track student progress through the program including but not limited to tracking classes each student has taken and communicating and coordinating with Graduate Student Services to ensure each student is enrolled in the appropriate classes each quarter and/or enrolling in Continuous Enrollment as needed.
  • Coordinate dissertations, maintaining a schedule of each dissertation committee and chair as well as dates of proposal and final defense.
  • Coordinate and submit faculty pay for each aspect of the program.
  • Design, coordinate, and execute student services activities as needed such as textbook orders, communicating course registration, dissertation paperwork, and graduation registration deadlines.
  • Develop and revise printed materials for student activities and recruiting.
  • Manage the website content for up-to-date programmatic and student profile information.
  • Assist in the planning and execution of recruiting, orientation and immersion experiences and oversee logistics and processes of the event.
  • Create, maintain, and communicate program calendars and schedules to appropriate stakeholders.
  • Oversee process and completion of program assessments and other student input surveys.
  • Manage and support finances and contracts related to the operational and logistical delivery of the Program.
  • Analyze budget to ensure that the Program stays within budget.
  • Primary contact, after Program Director, for inquiries by prospective and current students.

Knowledge, Skills, and Abilities

  • Thorough knowledge of Microsoft Excel, Word and Outlook
  • Ability to communicate effectively both verbally and in writing
  • Ability to complete tasks promptly and accurately with limited direction
  • Ability to interact with faculty, staff and students and communicate effectively and sensitively
  • Ability to problem solve
  • Ability to do basic math and accounting and have general understanding of finance and budget reports
  • Ability to prioritize and multi-task
  • Ability to be adaptable and flexible
  • Ability to develop and maintain strong working relationships

Required Qualifications

  • High school diploma
  • Two years administrative experience in an office setting

Preferred Qualifications

  • Associates degree
  • Administrative experience in an university office setting
  • Experience with Ellucian ERP/Banner

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Part-time, schedule to be determined with supervisor. This position will include the potential for some time spent working from home.

Salary Grade Number:
The salary grade for the position is 7.

Hourly Range:
The hourly range for the position is $23.00 – $26.60
