Primary Job Function:
The Grant Analyst is responsible for performing a variety of complex financial and administrative activities in support of the District’s Mental Health Supports Coordinator. Perform verification of budget detail analysis for all grants under the review of the Coordinator. Process, record, evaluate and audit various transactions; prepare and maintain a variety of manual and automated financial and statistical records and reports. Coordinate the flow of communications, correspondence and information for the department.
Minimum Qualifications:
- Any combination equivalent to: associate’s degree (Bachelor’s Degree preferred) or five years’ experience working in budgets with an in-depth knowledge of accounting software. Must have strong analytical, computer, public relations, problem solving and oral and written communication skills.
- Valid Indiana driver’s license
Essential Duties and Responsibilities:
Leadership:
- Perform a variety of highly responsible and confidential duties to relieve the Mental Health Supports Coordinator of a variety of administrative details; provide complex and confidential administrative support to the Coordinator
- Verification of budget detail analysis for grant and budgets that are under review of The Mental Health Supports Coordinator
- Serve as the secretary to the Mental Health Supports Coordinator; provide public relations and liaison services; initiate, screen and receive telephone calls; take, retrieve and relay messages as needed; schedule meetings, respond to requests, complaints and questions from staff.
- Understand the complex structure of funds, keys and objects in IFAS
- Input, upload and update a variety of financial and budgetary data
- Serve as an auditor for all mental health grant budgets utilizing financial spreadsheet
- Responsible for financial tracking of purchases
- Understand the Mental Health grant and other departmental budgets
- Create purchase requisitions and maintain purchase orders for the department and other departments involving various Mental Health Grant Funds
- Responsible for monthly reconciliation review with all stakeholders
- Participate in monthly grant meetings and provide grant updates
- Perform related duties as assigned by the Coordinator to meet the particular needs of the department while maintaining multiple projects with time sensitive deadlines.
- Compose, independently or from oral instructions, notes or rough draft, a variety of complex correspondence such as inter-office communications, forms, letters, memoranda, announcements, bulletins, and other materials.
Communication and Support
- Serve as inter-departmental liaison regarding all budgetary processes and procedures
- Serve as liaison between department and the Budget/Accounting Department
- Collaborate with Mental Health Supports Coordinator to plan and organize yearly budget operations
- Responsible for preparing and maintaining a variety of detailed records and reports
- Responsible for completion of mandated reports
- Responsible for submitting all necessary reports and documents to the Mental Health Supports Coordinator in accordance with established timelines

Probationary Period:
- New employees must successfully complete their probationary period to be eligible to apply for posted positions.
- Employees must remain in their current position a minimum of sixty (60) calendar days to be eligible to apply for any non-lateral posted position.
- Current non-probationary employees may only apply for lateral positions at the end of each school year.

Physical Demands – While performing the duties of this job, the employee is regularly required to speak and hear. The employee is required to have dexterity of hands and fingers. The employee is required to sit or stand for extended periods of time. They may be occasionally required to bend at the waist, kneel or crouch. Specific vision abilities required by this job include close vision, and ability to adjust focus. While performing the duties of this job the incumbent is seated or walking at will and must be able to push, pull, lift and carry over 10 pounds on occasion.
