Representative Duties
Facilities coordinators perform and coordinate administrative, technical, and professional work related to day-to-day building management issues, space planning, and space and facilities projects, including ensuring compliance with the appropriate guidelines, policies, and approved internal controls and conducting inventories. The Facilities Coordinator reports to the Space and Facilities Manager.

  • Monitor, coordinate, and react to day-to-day facilities management issues, which may involve structures, building systems, technology, grounds, security, and space planning.
  • Procurement authority and payment of reimbursable work authorizations to the General Services Administration.
  • Monitor project work. Assess, document, prioritize, and respond to project problems. Attend or participate in project or construction meetings as a representative of or advisor to the court’s management team.
  • Work with court units to maximize work place efficiency.
  • Maintain files related to facilities management, space planning, and space and facilities project. Prepares Requests for Purchases. Procures equipment, supplies, miscellaneous services and furnishings from government and non-government sources through new contracts, competitive bids or existing government contracts. Receives deliveries and provides invoices/packing slips to appropriate person on all procured furniture and equipment items.
  • Schedule and coordinate moves of departments, divisions and judges’ staff related to facility changes. Coordinate all systems (telephone, computer, audio, security, etc…) requirements (moves, hardware, wiring, software, funding, etc…) for assigned projects.
  • Serve as Court liaison with GSA, Space and Facilities Division of the Administrative Office, the Circuit, various court agencies, vendors and contractors on assigned projects.
  • Provides facilities, property, and procurement support to judicial officers and Clerk’s office staff.
  • Performs inspections against all types of work orders (Reimbursable Work Authorizations, Purchase Orders, etc.).
  • Monitors, assesses, documents, and prioritizes progress on all on-going projects. Attends or participates in project meetings.
  • Assists court management team or others in establishing and maintaining project schedules.
  • Performs equipment and furniture inventories. Assists in conducting physical inventory of FLMD accountable property once every two years.

Minimum Qualification Requirements

  • Knowledge of building systems. Skill in interpreting policies and procedures to lay audiences. Knowledge of potential adverse effects if problems or repairs are not addressed in a timely manner. Skill in resolving issues and problems in a timely manner.
  • Knowledge of design and construction processes. Skill in reading construction documents and blueprints.
  • Ability to communicate effectively (orally, graphically, and in writing) to individuals and groups. Ability to interact effectively with others, providing customer service and resolving difficulties while complying with regulations, rules, and procedures regarding court administration.
  • Ability to develop project budget plans. Knowledge of applicable Judiciary budget, finance and procurement regulations.
  • Skill in the use of automated equipment including word processing, spreadsheet, and project management applications, as well as automated or manual drafting systems or related software applications.
