Overview
AIR’s Facilities Management (FM) department is seeking a Facilities Systems Associate to join our innovative team. The FM department operates in a customer-service-oriented and fast-paced environment. This position reports to the Senior Facilities Manager in support of the entire FM department and institutional needs.
In this role, you will maintain assigned FM systems, processes, and data within the FM portfolio. You will be responsible for data integrity and supporting functional users as a technical point of contact. You will be a self-starter with the ability to effectively partner with cross-functional teams like Human Resources, Information Technology, and Corporate Business Systems. This position will be located at AIR’s Chicago, IL office and has the option to telework two days a week.

Responsibilities
The responsibilities for the position include:
- Responsible for data integrity and quality in assigned systems to ensure accurate and timely data maintenance.
- Complete end-to-end data entry and loading of data as needed.
- Provide responsive support for researching and resolving system issues on assigned business systems in the FM portfolio.
- Effectively develop and maintain accurate complex reports regularly with a solutions-oriented approach to resolve data issues and any other barriers to progress.
- Proactively work with end users to confirm fixes and train them on needed steps to ensure future success.
- Coordinate changes on internal SharePoint sites, as necessary.
- Update user and administration guides as new functionality/customizations are implemented; document process flows of HR processes to facilitate upgrade/implementation activities.
- Understand and track critical license expiry/renewal timelines.
- Develop and maintain strong professional partnerships with key members of the Human Resources, Information Technology, and Corporate Business Systems teams to ensure robust systems support remains in place.
- Provide backup support to other Facilities Systems team members.
- Assist with other technical-oriented projects based on needs.
- Duties, responsibilities, and activities may change, or new ones may be assigned at any time based on business needs.
Qualifications
Education, Knowledge, and Experience:
- At least 2 years of experience in Facilities Management, Human Resources technology, or other systems-focused areas or an equivalent degree in Business, Human Resources, Facilities Management, Information Technology, or any related field.
- Comprehensive experience with developing reports from large data sets, including advanced Excel skills (VLOOKUP, Pivot Tables).
- Familiarity working with facilities management, IT, or HR/HRIS systems or other reporting tools or systems

- Proficient in using standard Microsoft 365, including OneDrive, SharePoint, Excel (advanced), Word, PowerPoint, and Adobe Acrobat Pro.

AIR’s Total Rewards Program, is designed to reward our staff competitively and motivate them to achieve our critical mission. This position offers an anticipated annual salary of $50,000 – $60,000. Salary offers are made based on internal equity within the institution and external equity with competitive markets. Please note this is the annual salary range for candidates that are based in the United States.
