Hiring Range: $38,950.00 – $39,900.12 annually (salary to be commensurate with qualifications)

This position works at the El Paso County Fair and Events Center in Calhan.

This position has an anticipated work schedule of Monday – Friday OR Tuesday – Saturday, from 8:00am to 4:30pm (evening and weekends as needed), subject to change. Under FLSA guidelines, this position is non-exempt.

Performs administrative functions related to the planning and coordination of the County Fair, special events, and facility rentals at the County Fairgrounds as assigned. Serves as the receptionist and office coordinator for the Fairgrounds office.
Essential Duties/Responsibilities

  • Assists and works with County departments, Board Members, and volunteers in support of the fair and special events.
  • Serves as the initial point of contact for information related to the County Fair, special events, and facility rentals. Provides excellent customer service and coordinates all fairground rentals, including marketing and reservations. Assists with generating fairgrounds rentals, including researching and seeking out new organizations to rent the fairgrounds.
  • Greets and assists visitors and employees. Answers and screens incoming calls, takes messages, and answers inquiries or refers calls to the appropriate person or office. Provides accurate and detailed information and/or directions.
  • Prepares and types correspondence, memos, contracts, and reports as needed.
  • Distributes mail and maintains inventory of office supplies.
  • Recruits, organizes, and manages vendors and creative arts for the County Fair.
  • Prepares and submits deposits for County Fair activities and special events; follows all County and standard cash handling policies and procedures. Tracks and reports expenditures; assists with resolving budget issues. Prepares purchase order requests and sets up new vendors in JD Edwards.
  • Performs data entry and uses data to prepare reports and organize data for dissemination.
  • Notifies Board Members of meetings and makes necessary arrangements. Records board meetings and types minutes.
  • Manages all beer dock activities, including stocking, staffing, and financial records.
  • Develops promotional material and creates registration forms for activities and events.
  • Assists with various programs and events as needed.
  • Performs other duties as required.

Qualifications
Knowledge, Skills, and Abilities:

  • Ability to work independently and with minimal supervision; ability to assess situations, exercise sound judgment, and make prudent and appropriate decisions.
  • Must be able to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with coworkers, volunteers, community organizations, schools, and the general public.
  • Ability to manage multiple tasks and reprioritize as work situations change.
  • Must possess excellent customer service and organizational skills.
  • Ability to encourage and facilitate teamwork; ability to build strong teams among a variety of stakeholders.
  • Ability to stimulate an interest in the fairgrounds and the County parks system.
  • Demonstrates a positive, ‘can-do’ attitude.
  • Ability to use standard office equipment including computer, fax machine, copier, scanner and multi-line telephone. Proficiency with various computer programs and Microsoft Office programs, including Word, Excel and Outlook.
  • Maintain regular and punctual attendance.

Required Education and Experience:

  • High school diploma or equivalent education.
  • Minimum two years of administrative experience.
  • Any equivalent combination of related education and work experience that satisfy the requirements of the job will be considered.

Preferred Education and Experience:

  • Associate’s degree in business administration or related field.
  • Previous experience with organizing special events.

Licenses/Certificates:

  • Must possess and maintain a valid driver’s license.

Pre-Employment Requirements:

  • Must pass conditional post offer background investigation, motor vehicle record check, and drug screen.

Work Conditions
Duties are primarily performed in an office environment; some travel may be required. Work may be performed in stressful situations. May be required to work evenings and weekends as needed.
