Finance and Admin Coordinator| McCormick Place Convention Center

Overview

Under direction of the Director of Finance & Administration, the Finance & Administration Coordinator will provide administrative support to the finance department at McCormick Place/Wintrust Arena. Administrative duties may include, but are not limited to, answering phones, assisting with payroll, handling A/P, A/R, purchasing responsibilities, assuring compliance in hourly employee personnel files, handling basic HR duties, scheduling, and general clerical duties. Provide support for month end closing and account reconciliations. Safeguard company assets and provide data and fiscal support to other departments within the company.

This role will pays a wage of $26.44 to $33.65.

Responsibilities

  • Assist the Finance Department in its day-to-day activities.
  • Greet all guests that enter the area, answer incoming calls for the Finance Department, Assist with guest/client relations.
  • Provide general office / administrative / accounting support including input of weekly cash and sales reports, A/P and A/R data entry, document coding, and event reporting.
  • Manages the main area receptionist and office clerk and their duties.
  • Works with other departments to coordinate office supply purchases.
  • Assist accounting staff with administrative duties as necessary.
  • Copying, filing, scanning materials
  • Prepare customer invoices for mailing.
  • Reviews payroll registers for assigned locations to ensure that all time entry data has been prepared for processing.
  • Assist with month end closing procedures.
  • Examine and verify a variety of financial documents and reports.
  • Assist with other office duties as needed.
  • Other miscellaneous projects and duties as assigned by The Director of Finance.

Qualifications

  • Minimum Two-year degree in accounting, finance, business, or related field.
  • Two or more years’ experience in an accounting/administrative position with increasing level of oversight and responsibility.
  • Ability to work independently and remain flexible in role.
  • Consistent and reliable attention to detail, accuracy, and validity.
  • Ability to multi-task in a fast-paced, changing environment. Must work well under pressure of deadlines.
  • Ability to successfully interact and collaborate with all team members professionally and supportively.
  • Ability to develop and maintain cooperative working relationships with company and business contacts.
  • Advanced proficiency with computers in a Windows platform including Microsoft applications, accounting/payroll/HRIS systems.
  • Extensive experience preparing accurate spreadsheets and reports.
  • Proficient in Microsoft Office, Word, Excel, and Outlook.
  • While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time.

    This position also requires constant use of interpersonal skills including, but not limited to ability to direct/motivate/inform staff and foster collaboration, ability to recognize and resolve conflicts, and ability to openly communicate verbally and in writing with clients and co-workers.
