Position Summary
DEFINITION:
Under direction of the dean, Academic Affairs, the fine arts operations supervisor is responsible for designing, scheduling, coordinating, staffing, and budgeting of all technical and production elements of the Fine Arts Complex. The position establishes, coordinates, and maintains facility and production schedules; manages fiscal resources; supervises all production needs of the Fine Arts department; coordinates logistics, and use of the Patricia Boyd Recital Hall and all other technical, studio, and performance spaces in the Fine Arts Complex. In collaboration with the dean, initiates performance and facilities use agreements with external parties, and recommends solutions to technical and production challenges, instructional needs, and artistic goals.

CLASS CHARACTERISTICS:
This is a classified supervisor position. The position is characterized by applied knowledge of technical, production, and performance processes, as well as event management, including scheduling and logistics. The incumbent serves as a supervisor to instructional assistants, student workers, and other assigned personnel in the Fine Arts Complex in the performance of their essential functions. The incumbent is required to exercise a high degree of independence, good judgment, and diplomacy while working with campus personnel and while working as a leader within the Fine Arts Complex. The incumbent will be responsible for establishing and managing daily workflow and will consult with the dean, facilities department, and IT on a regular basis to assess and plan for operational demands.
Essential Functions and Qualifications
ESSENTIAL FUNCTIONS:

  1. Develops and maintains a master calendar for scheduling all rehearsals, performances, and events; allocates time and space on stage, in studios, and other artistic and performance areas.
  2. Serves as the lead technician for all rehearsals, performances, and events; supervises the work of lighting, sound, and video technicians; collaborates with the PCPA – Pacific Conservatory Theatre for additional staffing and/or support.
  3. Collaborates with the dean, department chair, and program faculty to identify and address all technical, production, and operational needs.
  4. Generates and maintains comprehensive training protocols and documentation; trains student workers, instructional assistants, professional experts, and auxiliary production staff in the use and operation of lighting, sound, and video systems.
  5. Provides comprehensive equipment and technical training to student workers, faculty, professional experts, volunteers, and auxiliary personnel or crews.
  6. Acts as the house, stage, quality control, and safety manager for all rehearsals, performances, and events; attends all events and assures that operational quality is maintained.
  7. Develops, recommends, and maintains facility use fees, protocols, and procedures in collaboration with the Dean and District facilities department.
  8. Serves as the primary point of contact and manager charged with processing performance contracts and facility use agreements with community groups, external organizations, and talent agencies.
  9. Evaluates and maintains all lighting, sound, and video equipment and arranges for the needed repair and/or replacement.
  10. Participates in the budget development process; contacts vendors/suppliers for quotes; orders equipment and supplies; maintains inventory; makes recommendations regarding capital purchases of technical equipment and facility upgrade needs.
  11. Acts as supervisor for student workers and instructional assistants engaged in Fine Arts productions.
  12. Assesses and supports needs of visiting artists and rental clients and assures adherence to District policies and procedures by external parties; trains rental clients as needed.
  13. Performs related duties as assigned.

Knowledge of:

  • A variety of complex theatrical, musical, and technical production needs;
  • Maintenance and care of production equipment;
  • Event booking, coordination, and management;
  • Commercial and/or professional performance venue operations;
  • Principles and practices of supervision, training, and operational efficiency methodologies;
  • Safety practices and procedures – basic understanding of CAL-OSHA, NFPA, SDS, electrical, height, and general safe workplace guidelines;
  • Proper English usage, vocabulary, grammar and spelling;
  • Recordkeeping, account budgeting, billing procedures, and estimating practices.

Demonstrated ability to:

  • Prioritize and organize workflow to assure quality and timely execution of Fine Arts program needs;
  • Work productively within established timelines, meet deadlines and support others to do so;
  • Use a computer to generate written documents, spreadsheets, and reports;
  • Understand and carry out oral and written directions.

Physical Demands and Working Conditions:

  • Medium lifting, carrying, pushing and/or pulling fifty (50) pounds maximum with frequent lifting, pushing, and/or carrying of objects weighing up to twenty-five (25) pounds.
  • Work requires standing for prolonged periods of time.
  • Operates a computer keyboard and other printing machinery.
  • Communicates over the telephone, by email, and in person.

Working Conditions:

  • This is an FLSA exempt position.
  • May be required to work a flexible workweek which includes day and evening hours and occasional weekend assignments and may be assigned to any district location.
  • Duties are primarily performed in an instructional environment, at a desk, or at a computer, classroom, or performance space.
  • The incumbent will experience interruptions while performing normal duties during the regular workday.
  • The incumbent will have contact, in person or on the telephone, with executive, management, supervisory, academic, and classified staff and the general public.

Minimum Qualifications
Education and Experience:
A bachelor’s degree in a related field and three (3) years of skilled experience in event or theatre management, to include experience with lighting and sound concepts and technology; OR any equivalent education and experience to demonstrate ability to perform the essential functions of this position.
Additional Information
Desired start date is August 2023. This is a full-time, 40-per week FSLA exempt, supervisory position.

Work Schedule:
Monday – Friday, 8:00 a.m. – 5:00 p.m. This position is in-person at the Santa Maria campus.
