General Description
Under the general direction of the Animal Services Director, the Foster/Volunteer Coordinator is responsible for oversight and management of the Clay County Animal Services Foster/Volunteer Program, assuring proper sanitation and efficient and humane care of shelter animals while in foster care. The position is also responsible for supervision of foster volunteers and necessary communication with other departments as relates to the foster program and assists with other shelter operations tasks as assigned. The position works closely with veterinary staff, behavior evaluation and enrichment professionals, volunteers and staff members.
Essential Duties & Responsibilities

  • Coordinate the movement of animals into and out of foster.
    • Post all urgent animals for foster within 1 hour of identification, and non-urgent animals within 3 hours of identification including ensuring animals have clear photos before entering any foster program.
    • Monitor health of animals in foster care and report any important findings/issues to medical personnel or management as appropriate.
    • Coordinate timely medical checks and treatments and coordinate booster, recheck, and drop off times with foster volunteers, and schedule them on foster calendar and ensure that all follow-up treatments are given on time.
    • Coordinate with Medical Director for foster animals to receive more advanced medical checks and treatments.
    • Select and prepare candidates for the Bow Wow Breakout Program based on feedback/recommendations of other staff, coordinators, and management.
    • Coordinate with Adoption/Rescue Specialist, Program Coordinator, Shelter Manager and medical staff about underage animals in need of foster, about animals in need of alteration, and about animals returning from foster to allow time to plan for space offsite/adoption events.
    • Ensure foster animal locations and foster volunteer information is accurate in Shelter Software.
    • Ensure shelter has all necessary items to prepare foster packs, coordinate with social media personnel to make call outs for donations of foster items, and prepare foster packs for outgoing foster animals.
    • Manage and monitor foster email and foster phone, all emails and phone calls are responded to within 24 hours unless it is an emergency.
  • Maintain foster programs, procedures, and training materials.
    • Recruit, train, mentor, and serve as primary contact for foster volunteers, and follow up with long-term fosters regularly to ensure satisfaction and compliance with our foster programs.
    • Keep all foster materials and programs up to date, and provide appropriate orientation materials, manuals, and handouts to all foster volunteers.
    • Develop and maintain advanced or specialized foster parent training program to ensure continual growth of foster program.
    • Carry a cell phone 24 hours a day, seven days a week when on call to allow for rapid response to foster animal emergencies. When on call, must have a plan in place for quickly and efficiently responding to various foster emergencies. Alternates on call with medical staff.
    • Report to Shelter Manager and about consistent or serious issues with foster programs, foster volunteers, or staff involved with foster programs, and work to devise solutions to these issues.
    • Track data on foster programs, and utilize it to create a monthly foster report to be submitted to Shelter Director at the beginning of each month.
    • Attend and/or assist Program Coordinator in organizing special events pertinent to foster programs.
    • Perform other duties as assigned by Shelter Director or Shelter Manager
    • Working with volunteers by providing feedback, assistance and engagement
  • Assist with additional duties.
    • Restock foster and holding room supplies and prepare foster packs prior to or during foster appointments.
    • Collect and gear up Dogs Day Out dogs and manage and clean Dogs Day Out gear as needed.
    • Facilitate movement of shelter animals into foster care by collecting animals, animal housing, foster supplies and medications.

Minimum Requirements

  • High School Diploma or GED Equivalent
  • Minimum of two years’ experience as a veterinary technician.
  • Previous experience in foster coordinator position (Preferred)
  • Certified Euthanasia Technician (Preferred; Must attain within one year of hire)
  • Valid Florida driver’s license with clean driving record.
  • Any combination of education and experience may be substituted, so long as it provides the desired skills, knowledge and abilities to perform the essential functions of the job.

The person in this position needs to be able to frequently move about to ensure proper care of animals and to access files, personnel, office machinery, etc.

Constantly positions self to inspect and assess animals for wellness, temperament and potential foster placement.

Must be able to inspect, assess and perceive condition of animals and related data and information and to summarize relevant data for supervisors and medical staff

Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

Frequently communicates with supervisors, other staff, including medical staff, and the public regarding animal welfare and foster placement and procedures. Must be able to exchange accurate information in these situations.

The worker is subject to indoor and outdoor environmental conditions. Indoor exposure may include dust, dander and fur. External exposure may include inclement weather, extreme temperatures, humidity, and pollution. Position risks exposure to bites, scratches, animal waste and unpleasant odors.

The noise level is typically moderate, but may risk exposure to loud and unpleasant noises.

Medical Coverage

The County offers a choice of two dental plans, with the County covering 100% of the single premium under the Low Plan. The employee will pay the difference of the premium cost if they elect family coverage.

The County provides basic life and accidental death and dismemberment (AD&D) life insurance coverage of $ 20,000.00. Eligible employees may purchase additional coverage for themselves, their spouse, and dependent children through the Supplemental Life Insurance program.

Long Term Insurance
Employees may purchase long term insurance through the County’s provider for life insurance at affordable rates.

Vacation
