The Front Desk/Office Assistant is the first contact between Caritas and all clients and visitors; setting the tone to the community promoting our mission and purpose to support our most vulnerable population in Southern Illinois. This position supports the Caritas office to ensure basic administrative tasks and general office management are complete for all departments or programs residing in that office. Work is performed under the supervision of the Office Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as, well as, other duties that may be assigned.
- Greet and assist visitors, presenting at the front office window, courteously and professionally.
- Ensure office security by monitoring individuals through the main entry.
- Manage multi-line phone system, answering and directing all incoming phone calls and messages left after hours to the appropriate staff.
- Perform clerical duties including but not limited to data entry, copying, faxing, and/or scanning documents. Using Microsoft Outlook to receive, respond to, and send emails.
- Ability to interact professionally at all times and assist staff, visitors, vendors, volunteers, sponsors, Board members, and donors while in the office or on the phone.
- Assist with sorting and distribution of mail and the use of the postage machine.
- Performs simple filing and file management tasks.
- Assist with room scheduling for visits, meetings, or other program use.
- Assists with meeting room preparation including equipment, supplies, and refreshments.
- Serve as a backup to the Office Manager when necessary.
Qualifications
EDUCATION and/or EXPERIENCE: A high school diploma or general education degree (GED) however an Associate’s Degree is preferred.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Strong computer skills especially knowledge of Microsoft Office products, including but not limited to Outlook (Email), Word, and Excel.
- Ability to read, analyze and interpret common documents.
- Ability to speak fluently and effectively over the phone and in person with staff, visitors, vendors, volunteers, sponsors, Board members, and donors.
- Ability to solve practical problems.
