Front Desk Receptionist (Evening Shift)

Job Summary

This positionis responsible for handling the switchboard at reception, greeting, anddirecting members and visitors while maintaining a professional firstimpression for the organization.

Essential JobFunctions

  • CREATESWOW by: anticipating needs and wants, being prepared, being continuouslyenthusiastic, executing flawlessly and doing it now.
  • Welcomeson-site visitors, determines nature of business, and announces visitors toappropriate personnel.
  • Actsas the first point person by answering incoming telephone calls, determinespurpose of callers, and forwards calls to appropriate personnel or department.
  • Respondsto inquiries about the organization and provides callers with address,directions, and other information.
  • Receives,sorts, and routes mail, and maintains and routes publications; preparesovernight mail.
  • Separateschecks from mail, sorts checks, adds them up and sends checks to accountsreceivable department.
  • Updatessystem with daily events and makes respective signs.
  • Scansmembership tags of members as they enter the Club.
  • Makesmenu tents for all special events and types daily lunch menus.
  • Checksreservation voice mail and email continuously.
  • Takesreservations and enters them in Club system.
  • Entersroom and events/tables in Club system.
  • Printsout reservation reports daily and advises kitchen of any large parties inGrille or Lounge.
  • Createstickets for all sponsored events.
  • Keepsreception area clean and organized and keeps lobby attractive.
  • AssistsMembership Director in preparing membership packages.
  • AssistsClub Administrator with all Club mail outs.
  • Createsspreadsheets for events.
  • Createsbirthday/anniversary cards when reservations are made for special events.
  • Makessure bridge rooms are ready prior to members arriving.
  • Createsand prints memos, correspondence, reports, and other documents when necessary.
  • Assistscatering with special events as needed.
  • Performsother duties as assigned by the supervisor or senior management.

AdditionalResponsibilities

  • Learnsand follows protocols regarding medical emergencies, missing child and fire evacuations.
  • Learnsand follows procedures and protocols as described in the receptionist manual.

Educationand Experience

  • MinimumHigh School diploma or GED (some college preferred)
  • Minimumof 2 years of experience as a receptionist or in a customer service relatedfield
  • Knowledgeof office equipment use (printer, phone, computer, copier, scanner, etc.)
  • Experiencewith multi line telephone system
  • Must obtain and maintain CPR, AED, and 1stAid certifications.

  • Strongskills in word, excel and publisher.
  • Effectivecommunication verbal and written.
  • CustomerService oriented.
  • Excellent organizational skills and attentionto detail.
  • Mustbe professional in work style and appearance.
  • Communicates and interacts in afriendly, helpful, respectful and professional manner while on property, on thephone and while conducting any Club business.
  • Poses honesty and integrity.
  • Follows instructions from a supervisorand senior management.
  • Works well with minimal supervision.
  • Shows up to work on time and followswork schedule.
  • Team player and gets along withcoworkers.
  • Works safely but with a sense ofurgency.

Interaction

  • Frequentinteraction with members, guests, and clients in person and over the phone.

Workingconditions

  • Office setting, sedentary work.

ExpectedWork Schedule

  • Must be able to work full time flexible hours (30-35 hrs. per week)
  • Primarily Evening shift (2:30 – 9pm) but must also be able to work morning shift (8am to 3pm) including weekends, and holidays as needed.
