Description
Provides administrative support to the director and assists in the efficient operation of the
department. This position requires routine interaction with faculty, staff, students, and the general public.
Examples of Duties
- Serves as the initial point of contact for all incoming Academy of Culinary Arts students
- Advises incoming students on their first semester, and provides information regarding program requirements, financial aid, registration, book requirements, etc.
- Refers potential students to One-Stop Advising Center as needed
- Offers academic support including, but not limited to drop/add, and schedule changes
- Schedules class observations for prospective students
- Assigns and maintains lockers for culinary students and ensures student lockers are vacated by graduating students
- Assigns faculty advisors for all incoming ACA students and maintains advisee list for all ACA faculty
- Coordinates linen deliveries for the operation of Careme’s and the department
- Coordinates department events including, but not limited to; Culinary New Student Orientation, 2nd Year Coat and Toque Ceremony, and the Academy of Culinary Arts Award Ceremony
- Assists with Open House events as needed
- Serves as the office receptionist
- Proofreads and edits documents as directed
- Coordinates Student Evaluation of Instruction surveys
- Assists the director with generating the culinary and hospitality class schedules and builds the schedules in Colleague
- Prepares faculty assignment forms for full-time and adjunct culinary and hospitality faculty
- Enters room assignments in Live25
- Prepares requisitions, purchase orders, and other general finance-related documentation
- Updates ACA webpage as needed
- Assists Workforce Development with ServSafe certification examinations
- Orders supplies and equipment for the office
- Performs related duties as assigned
Typical Qualifications
Education:
- Associate’s degree
Experience:
- Two years of professional office experience (experience in higher education preferred)
- Experience working with Microsoft Office applications and Google Workspace
- Experience working with Live25, Ellucian’s Colleague management information system and Recruit a plus
Competencies and Skills:
- Demonstrated ability to work independently, forward-thinking, detail-oriented, excellent problem-solving skills
- Demonstrated ability to effectively work in a team and student-centered environment
