Under the direct supervision of the Vice President of Administration, the Accounting and Payroll Specialist performs the daily operations for general ledger, accounts payable, payroll and a variety of general Business Office duties. This position also provides backup in the areas of Student Receivables, Payroll, and other accounting-related business functions.
The Specialist collaborates with employees throughout the district and a variety of vendors and other related audiences to provide exceptional service to internal and external stakeholders.
Primary Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Accounting (Accounts Payable)
- Oversee, manage and perform all aspects of the accounts payable process including setup and maintenance of computerized vendor files; matching invoices with details on purchase orders; verifying receipt of goods; requesting necessary paperwork or approvals from appropriate personnel; posting invoices into the computer; providing timely and accurate payments to vendors; contacting vendors regarding any invoice or payment discrepancies; and assisting other departments with invoice and payment inquiries.
- Process travel advances and expense reimbursements to comply with Nicolet travel policies and procedures.
- Print and assist with the issuance of financial aid and student refund checks.
- Analyze vendor accounts annually to determine which vendors will require a Federal 1099 Miscellaneous Income form. Process the 1099 forms and send summary 1096 form and 1099 copies to the Internal Revenue Service (IRS) annually. Respond to IRS inquiries.
- Monitor the sales accounts monthly; prepare sales tax worksheet to calculate the tax due to the State of Wisconsin; prepare and submit the report and remit the electronic payment.
- Prepare monthly bank reconciliations for the cash accounts; calculate and prepare necessary adjusting journal entries.
- Maintain the Retiree Health Insurance “OPEB” spreadsheet. Compile information, calculate and post fund balances. Provide required reports.
- Oversee the travel process and maintain the Employee Travel Reimbursement form.
- Review and analyze vendor accounts, prepare, and enter all necessary journal adjustments.
- Receive, reconcile, and enter daily student receivables journal entries.
- Provide accounting assistance to employees; respond to financial questions and concerns to meet College needs.
Payroll
- Assist the Payroll Manager in the processing of bi-weekly payroll.
- Provide data entry, review, and analysis of payroll information.
- Provide back-up coverage for the Payroll Manager.
General Business Office
- Accept cash, check, and credit card payments for student tuition; receive deposits from multiple internal departments. Post to appropriate accounts.
- Assist students, employees, and public with cashing checks, providing change, issuing print and copy codes, photocopies, faxes, etc.
- Work with and monitor the work of Work-study employees.
- Provide backup assistance to other Business Office positions
- Participate in the continuous review of Business Office processes, procedures, and forms; recommend improvements when necessary and utilize technology for efficiency.
- Maintain confidential files using imaging software.
- Assist with routine office duties such as composing, printing, and mailing letters; photocopying; and filing or retrieving documents.
- Provide administrative support for committee work and special projects.
Qualifications
Required Qualifications:
- Associate Degree in Accounting or business-related field.
- Two years of office experience involving accounting related duties.
- Two years customer service experience.
Preferred Qualifications:
- Bachelor’s Degree in Accounting or business-related field.
- Experience with general ledger, accounts payable or payroll accounting.
- Experience working in higher education.
Knowledge, Skills, and Abilities:
- Knowledge of office practices and procedures including Excel, Word, and other software programs; bookkeeping and accounting principles.
- Communicate effectively orally and in writing; and interact effectively with employees, students, funding agencies, and the public.
- Ability to work independently; prepare and complete accurate reports; and meet deadlines.
- Demonstrate ethical conduct in all aspects of the work environment.
- Exceptional customer service skills and the ability to maintain an excellent working relationship with internal and external customers including the ability to deal with potentially escalating situations and remain calm.

Compensation:
Typical starting wage for this position is $21.01 – $25.36 per hour, depending on qualifications. Includes a comprehensive benefits package.
