Under the direct supervision of the Strategic Marketing Director, the Support Specialist provides a variety of support services for the Marketing Team and for the Nicolet College Foundation. The Specialist collaborates with other College personnel to provide service excellence to internal and external stakeholders. This position will work as a collaborative support partner with the Community Engagement Support Specialist.
Primary Duties and Responsibilities
Marketing Support
- Assist in preparing annual department budgets and monitor program expenses. Process purchase orders, payment authorizations, travel requests, membership renewals, advertising placement, and expense reimbursements.
- Coordinate and communicate with internal resources and third parties/vendors.
- Provide administrative and technical assistance on a wide range of special projects as assigned. Manage multiple tasks with competing deadlines.
- Complete internal promotions using existing templates (kiosks, flyers, emails, social graphics, etc.).
- Create basic social media posts, graphics, photos and other social media work as directed.
- Provide backup to other team members as needed.
Foundation Support
- Provide on-site administrative support, as assigned, to Assist the Foundation team with operational duties, and communications including mailings, appeals, and other special projects as needed.
- Provide office support including email and telephone coverage, greet and assist student, donor, and community visitors, scheduling/supporting meetings and events.
- Maintain a donor database, entering all charitable gifts received including cash, check, online donations, stock, payroll deductions, and in-kind donations. Prepare all gift acknowledgments.
- Assist the Foundation team with administering student scholarships and other assistance.
Teamwork and Professional Development
- Contribute to team activities, including team meetings, goal-setting, and collaborative projects.
- Participate in professional development and professional networks as identified.
- Demonstrate a commitment to continuous quality improvement in all aspects of work.

Qualifications
Required Qualifications:
- Associate Degree in administrative/office professional, marketing, or related field.
- Proficiency with Microsoft Office suite, especially Word, Excel, and Outlook.
Preferred Qualifications:
- Bachelor’s Degree in a related field.
- Proficiency in scheduling software.
- Experience working with databases.
- Experience with event planning.
- Prior experience in any of the following fields: Communications, Marketing or Social Media.
- Experience using advancement related software programs.
Knowledge, Skills, and Abilities:
- Knowledge of typical office operations, software and programs, including word-processing, email, spreadsheets, and databases. Aptitude for learning new programs.
- Basic knowledge of various social media platforms with a desire and aptitude to learn content creation, and take basic photos.
- High level of interpersonal communication skills, with the ability to communicate effectively verbally and in writing with diverse audiences.
- High level of accuracy and attention to detail, excellent grammar and editing skills, and ability to write and proofread at a high level.
- Excellent and accurate data entry skills.
- Ability to maintain confidentiality about donors and students.
- Ability to provide outstanding customer service with a positive and friendly attitude.
- Understanding of and appreciation for the academic, ethnic, socio-economic, disability, and gender diversity of students, employees, and the general public.

Compensation:
The typical starting pay range for this position is $21.01 – $25.36 per hour, commensurate with qualifications and experience. Includes a comprehensive benefits package.
