Governmental Affairs PAC Administrative Support

Role Description:

This position provides administrative and bookkeeping support to the Political Action Committee (PAC) and grassroots advocacy team within New York Life’s Office of Government Affairs (OGA).

The position is primarily remote. However, it will require multiple days per month in the NYC office as well as several days of travel per year.

Role Responsibilities:

  • Process departmental expense payments to vendors, including obtaining required documentation.
  • Allocate transactions to appropriate expense account and cost center.
  • Review PAC membership data to ensure compliance with applicable requirements.
  • Prepare required documentation for PAC disbursements.
  • Process matching PAC charitable contributions, including preparing documentation, obtaining required approvals and maintaining database.
  • Serve as lead point of contact for agents, employees and charitable organizations with respect to PAC charitable match.
  • Assist with preparation of Federal Election Committee reports.
  • Process and maintain records for agent expense reimbursements for events organized by OGA.
  • Provide administrative support to grassroots advocacy team, including on site in Washington DC and state capitals.
  • Prepare and input monthly journal entries into SAP.
  • Prepare PowerPoint decks.
  • Secure meeting rooms for various events.
  • Perform ad hoc project assignments on a variety of issues on an as-needed basis.

Knowledge and Skills Required:

  • Extremely well-organized, detail oriented, and accurate.
  • Excellent follow-up and tracking skills.
  • Demonstrated ability in organizing workflow.
  • Ability to search, sort, upload and input data and files in databases.
  • Basic understanding of accounting ledger.
  • Skilled in Excel, PowerPoint, and Access.

Salary range: $42,500-$62,500
