Graduate Recruitment and Admissions Coordinator

Position Summary

This position supports all recruitment and admissions efforts for the graduate programs in CAHSS. Reporting to the Director of Graduate Recruitment and Admissions, the admissions coordinator will work closely with the recruitment and admissions team in the deans office and with faculty graduate directors and staff within academic departments. The coordinator will respond to prospective student queries via email, phone, and in person, give campus tours, meet with prospective students, coordinate recruitment events like Admit Day, and other interactions with prospective graduate students to build and support strong relationships with prospective students. In addition, the coordinator will work primarily in Slate to support admissions application workflow processes, manage student records, build and send email communications, and support reporting needs in Slate.

Essential Functions

Admissions and Recruitment Management

  • Support Director and other recruitment and admissions staff, both within the deans office and across the college, in recruitment and admissions activities, with an emphasis on excellent internal and external customer service.
  • Support Slate functions for the college, including advising faculty and staff on best practices for CRM use.
  • Utilize Slate to maintain inquiry and applicant database, including managing student records, monitoring admissions workflows, building and sending email campaigns and other outreach, building and sending reports.
  • Coordinate lead generation efforts via list purchases and outreach.
  • Partner with Digital Marketing Analyst on follow up to prospective students as appropriate.
  • Assist the Director in gathering and disseminating department-level data.
  • Collaborate with departments and central offices to organize annual Admit Day activities and outreach.
  • Provide support to department graduate directors and staff on admissions and recruitment-related projects as directed.
  • Coordinate and participate in the development and creation of recruitment materials.
  • Support research and data gathering projects related to recruitment and admissions, such as gathering, analyzing, and interpreting information about competitor programs.
  • Understand and adhere to admissions guidelines.
  • Participate in and assist with special projects related to recruitment and admissions.
  • Actively contribute to developing and implementing new methods of outreach and engagement with prospective students.
  • In absence of Director, review and approve dean’s hours and GXA awards.
  • Supervise student employees.

Support for Prospective Students

  • Advise prospective students regarding general program information, admission requirements, and prerequisites. Respond in a timely manner to queries via email, phone, in person regarding all aspects of CAHSS graduate programs. Connect prospective students with departments as appropriate.
  • Direct outreach via email and/or phone to prospective students to solicit and answer questions or encourage follow through with the application process. Hold regular meetings for prospective student appointments.
  • Follow up on leads resulting from individual inquiries and from marketing/recruitment efforts.
  • Provide campus tours and set up class visits as needed.
  • Manage college graduate student facebook page.
  • Collect data from applicants, including ensuring that the appropriate information is entered into Slate, and that information and follow up correspondence is sent.
  • Build and maintain relationships with applicants to build connections with the college and address any student concerns. Assist prospective students and faculty with all processes related to the application process, and assist in resolving issues.
  • Administer surveys, including building, sending, data gathering, and reporting.

Knowledge, Skills, and Abilities

  • Excellent oral and written communication skills.
  • Proofreading ability. Basic ability to manipulate data.
  • Ability to prioritize tasks and plan projects; time management and solid organizational skills.
  • Ability to help students, staff, faculty, and visitors in a positive and friendly manner.
  • Teamwork approach to projects and problem solving.
  • Ability to work with diverse and underrepresented populations such as veterans or persons with disabilities, using an inclusive approach.
  • Willingness and ability to learn new technology.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • 1 year of experience working in an office or military setting.
  • Proficiency working in Microsoft Excel, Word, internet searching, and email.

Preferred Qualifications

  • Master’s degree or graduate coursework.
  • Two years of administrative experience in an office or military setting.
  • Experience working with college/university admissions.
  • Experience with content writing for marketing initiatives.
  • Experience working with Technolutions Slate, Ellucian Banner, or other CRMs.

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday – Friday, 8:00 a.m. – 4:30 p.m.

Salary Grade Number:
The salary grade for the position is 6.

Hourly Range:
The hourly range for the position is $23.00-$25.54
