JOB SUMMARY
A Facilities Coordinator is responsible for maintaining the stock and inventory of materials necessary to carry out maintenance work orders, receives materials and appliances from all vendors, maintains inventory, ensures compliance with all building safety and mechanical systems certifications and coordinate, and document all safety trainings and compliance for the maintenance technicians. The Facilities Coordinator will work closely and communicates with Director of Repairs and Maintenance, Maintenance Supervisors and Lead Technicians on daily basis
ESSENTIAL DUTIES & RESPONSIBILITIES
Check the warehouse daily and organize the materials
Scan materials with low stock and prepare purchase order
Periodically go to the Oakland Shop to update prices and organize materials
Receive materials from Home Depot, Wilmar, Kelly Moore, etc. And check that the orders are complete
Assign the tools to the technicians
Maintain the tools and change the broken cables of the snakes
Prepare weekly purchase orders for paint
Receive the painting and check that the order is complete
Keep inventory control of used appliances
Accommodate incoming appliances in the designated area
Place and update prices weekly to warehouse materials
Fill out the chemical inventory form. (monthly)
Download the SDS of each chemical product handled by the staff. (monthly)
Prepare the schedule of the afterhours program and notify the technicians by e-mail of their assignment
Submit the work orders monthly to the different life and safety vendors to keep the corresponding certifications updated
File in BOX, charge in Yardi, update the life and safety Smartsheet, and communicate by e-mail each of the certifications we received from last month’s inspections
Prepare the work orders for the jobs approved by the Property Management team.
Assign and follow up work orders
Follow up on delayed certifications that vendors sometimes do not communicate have been completed
In the case of receiving a NOV, coordinate inspections to update the certifications observed during the inspection
SKILLS AND ABILITIES
An understanding of maintenance operations
Knowledge of Microsoft Excel and other Office suite of products
Excellent communication skills
Must possess clerical ability
Strong organizational skills and attention to detail
QUALIFICATIONS
High school diploma or equivalent; Certificate in building maintenance technology or relevant field a plus
Must complete and keep current on all lead, asbestos, mold certifications and other classes as required
1-3 years of clerical experience in facilities or maintenance
Bilingual Spanish/English a plus
$25 – $32 an hour
