Job Description

The Executive Assistant (EA) provides personalized executive and administrative support to the CEO. As a valued member of the KIPP Philadelphia team, the EA will execute a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization. The ideal candidate will have the ability to exercise good judgment and resourcefulness in a variety of situations and will possess strong written and verbal communication, administrative, and organizational skills. The ability to maintain a realistic balance among multiple priorities is critical. This role will report directly to the Chief Executive Officer and work closely with the Chief of Staff. This role will ultimately require comprehensive knowledge of the KIPP Philadelphia Public Schools organization including our annual initiatives, strategic plan, and core values. The EA will execute routine tasks and special projects as required, but not limited to the following:

  • Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot calendar conflicts with little guidance, make judgments and recommendations to ensure the CEO is effectively managing her time against her goals;
  • Support executive communications and correspondence, including taking calls, responding to emails, and drafting letters, while ensuring prompt, accurate, and appropriate responses;
  • Manage the CEO’s schedule and meeting needs – including gathering meeting materials from regional staff in a timely manner to ensure CEO preparedness ;
  • Assist CEO and Chief of Staff in activity and priority tracking and tracking the CEO’s action items to include for a CEO task list, including responding to emails and creating priority tasks based upon email communications;
  • Manage all scheduling and travel logistics for the CEO ;
  • Maintain quality filing and communications systems including contact management, document management, and archiving;
  • Complete expense reports;
  • Coordinate logistics and materials for board meetings, committee meetings, team retreats, and other events as needed;
  • Maintain strong relations with key stakeholders including Board members, senior leadership, and staff;
  • Complete other administrative tasks as assigned.

  • Flexibility and willingness to contribute when necessary on projects outside of own department;
  • Strong achievement orientation with exceptional time management skills and demonstrated ability to multitask;
  • Strong work ethic coupled with an enthusiastic and passionate approach to one’s work;
  • Proficient in Microsoft Office Suite, Google Workspace Tools, Salesforce, and video conferencing platforms (i.e. Zoom).

Additional Information

Compensation

  • The salary for this position is $65,000.
