Hachette Speakers Bureau and Communications Department Assistant

We’re looking for an Assistant to join the Communications Team at Hachette Book Group, a split role supporting the work of both our internal/external Comms Team and our fast-growing Hachette Speakers Bureau (HSB). The ideal candidate will be comfortable wearing many hats, working on a variety of fast-paced projects, and enjoys being part of a small and supportive team. This position requires impeccable attention to detail with strong skills in communications, events, marketing, and web design. A majority of HSB responsibilities will be performed daily, while Communications tasks are weekly or as necessary. This job reports to the SVP of Corporate Communications and the Director of HSB.

HSB

Event and administrative support: maintain CRM database with detailed information about authors, event logistics, book sales, and finances; liaise with authors and event clients including scheduling and participating in pre-event calls; create and update event itineraries; coordinate travel arrangements and assist with travel reimbursement; schedule internal meetings.

Marketing and design support: research and maintain client lists; design templates for email promotion; create assets for website homepage and social media; create and maintain speaker website pages; perform website maintenance; manage HSB’s Instagram page, book giveaways, and email marketing campaigns; create Powerpoint presentations.

COMMUNICATIONS

This Week @ HBG: help gather content for Monday communication to all staff.

Book donations: process book donations and monetary donation invoices

Bookends (HBG Intranet): admin support for content refreshes; create graphic banners for Bookends carousel; update Company Calendar to add holidays, major meetings, sales + focus meetings.

Tracking: NYT, USA TODAY, and ABA bestsellers for weekly recap; write news items for weekly Big News roundup (bestseller recaps, awards, tv/movie news).

Administrative support: schedule meetings, handle expense reports.

Additional projects: provide communications support for Sustainability and Hybrid Life in-house programs; create digital signage for in-house display screens.

Skills:

  • Agile and accurate when handling simultaneous time-sensitive projects
  • A proactive self-starter with excellent follow-through skills
  • Concise, professional, and expeditious in handling written and verbal correspondence
  • Experienced with email marketing, Canva, Powerpoint, Excel, social media, web design, and website management

The compensation range for this position is $47,500. Salary can vary based on a number of factors including skills, experience, and location – talk with your recruiter to learn more. There may be times that you will be required (or requested) to work overtime due to the nature of your role or exceptional workload issues or special projects.
