Summary Statement
The Information Technology Department (IT) collaborates with every department to implement new technology services and provide supporting data and information while maintaining the city’s existing information technology landscape in service to our community.
The Hardware Asset coordinator maintains a detailed inventory of the organization’s hardware assets to inform decisions concerning IT-related purchases and redistribution for the organization. Reduces and eliminates waste and increases efficiency by making the best use of existing IT asset resources and avoiding unnecessary purchases. Develops and maintains processes, policies, standards, systems, and measurements that help the organization to effectively manage both daily, and long-term technology-related hardware with regard to cost, control, risk, compliance, business performance objectives, and IT governance as established by the organization. Performs responsibilities with initiative, attention to detail, and a high degree of independence under general supervision and within established policies and regulations.
Essential Functions
- Perform daily and long-term operational and strategic management of IT hardware. Plan, monitor, and record hardware assets to make sure they comply with vendor contracts and city policies. Apply a continuous improvement approach in enhancing the strategies employed in technology spending, as well as in tracking company assets within the Configuration Management Database (CMDB) throughout their lifecycle. Ensure effective management of the CMDB and that the content contained is accurate.
- Manage inventory of Configuration Items (CI) and assets, including dependencies and attributes, making sure that modifications, withdrawals, and additions of existing assets are correctly recorded by the other IT teams are accurate.
- Provide KPI/Metric information and standardized reporting on a scheduled basis together with unscheduled reporting demanded by management. Define and enhance the scheme for identifying hardware assets as well as CIs, in the CMDB. Generate and distribute various reports, including compliance reports on current assets and CIs and their status; also perform trend analyses. Establish and maintain documentation of procedures, processes, and reports concerning asset and configuration management.
- Perform verification and audit of CMDB content; confirm hardware assets with actual inventory, and initiate corrective actions. Ensure process efficiency by implementing the key performance indicators; suggest improvements to the process continuously. Design processes relating to hardware asset management, execute, enhance and enforce them. Perform research on industry best practices and incorporate them with organizational practices.

Requirements
Required Knowledge, Experience, And Training
- Five years of progressively responsible experience providing intermediate to advanced IT hardware/software support and asset management, working with a Configuration Management Database and specific business support services, and ITSM experience; or, an Equivalent combination of education and/or experience.
- Proven ability and experience in executing strategic asset management processes successfully
- Strong vendor management and negotiation skills
- Strong knowledge of IT Service Management processes, as well as experience with the Discovery tool
- Excellent at performing multiple tasks at the same time without erring
- Excellent communication and interpersonal skills
- Strong ability to carry out assigned tasks independently with little supervision
Preferred Knowledge, Experience, And Training
- Bachelor’s degree in information technology, computer science, business administration, or related field.
- Possess IAITAM Certification, such as CHAMP, CSAM, and CITAM.
- ServiceNow experience.
Licensing And Other Requirements
Valid state-issued driver’s license.
