JOB DESCRIPTION

Position Title: HR Administrative Assistant / HR Specialist – Benefits & Leave Plans – 12 Month
Location: Unit Office
Department: Human Resources
Reports to: Director of Human Resources
FLSA Class: Exempt

SUMMARY

Provide administrative support to the Human Resources team with a focus on employee benefits and leaves of absence. Acts as a resource to new and existing employees in compliance with state and federal laws, Illinois School Code, and Board of Education policies.

DUTIES

  1. Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
  2. Coordinates and tracks the open enrollment process.
  3. Performs quality checks of benefits-related data.
  4. Assists employees regarding benefits claim issues and plan changes.
  5. Distributes all benefits enrollment materials and determines eligibility.
  6. Enrolls employees with carriers and process life status changes.
  7. Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes, and other general inquiries.
  8. Meets with employees in preparation for leaves of absence or upon return from leave.
  9. Assists in the coordination of leave of absence plans in accordance with state and federal laws, union contracts, and district policies.
  10. Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability, and FMLA.
  11. Effectively interprets FMLA and ADA implications as they relate to leaves of absence/disabilities.
  12. Responds to retirement inquiries from managers and employees relating to enrollments, plan changes, and contribution amounts. Collaborates with the Payroll department to provide timely and accurate retirement information.
  13. Assists with new-hire orientations.
  14. Work closely with the Payroll Department acting as a liaison at times for employees.
  15. Perform other employment duties as requested.

QUALIFICATIONS

  1. High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
  2. Experience in Human Resources or related support (preferred)
  3. Extensive knowledge of employee benefits and applicable laws.
  4. Excellent math, data entry, and computer skills including extensive knowledge of Microsoft Word and Excel and knowledge of HRIS or benefits management systems, Google Drive, Google Docs, Google Sheets, and Google Forms
  5. The ability to assume responsibility without direct supervision, exercise initiative, and judgment, and maintain confidentiality is essential.
  6. Excellent organizational and time management skills.
  7. Must be able to sit and type for extended periods of time.
  8. Able to perform job duties at assigned work location on a regular and consistent basis.

Compensation:
Fully Board Paid Medical, Dental, and Vision available.

The salary range for this position is $35,000 to $55,000 and is based on education and experience.
