Key Responsibilities:
- Greet guests, answer incoming calls, and direct calls accordingly.
- Act as a central information source to the public, seasonal employees and full-time coworkers.
- Ensure Suite Lobby is presentable at all times, prep lobby area in the morning and complete closing procedures for lobby/reception area at night.
- Maintain conference room schedules daily and book meetings.
- Maintain mailroom by monitoring supply inventory, organizing all areas to be sure it appears neat and orderly at all times, as well as putting away all incoming supply orders. Assist with mail distribution.
- Maintain employee breakroom by keeping all utensils, napkins and supplies fully stocked at all times; wiping down shelves in the refrigerator and microwave, as needed, organizing all areas to be sure it appears neat and orderly at all times.
- Provide assistance as needed for all departments.
- Resolve customer/client concerns and questions.
- Maintain and update voicemail messages as needed (holidays and off hours)
- Disperse and mail paychecks bi-weekly.
- Coordinate with coworkers of client arrivals.
- Assist in special projects as needed.
Departmental Responsibilities:
- Facilitates background check process, responds to external applicants, schedules interviews and appointments
- Supports recruiting activities
- Processes new hires in Workday
- Provides administrative support to the Director, Human Resources including managing calendar, coordinating meeting and event logistics, and completion of special projects
- Maintains department filing system, I-9 files and Team Member personnel files
- Coordinates all elements of meetings, training sessions and special events
- Create and upkeep new-hire binders, i.e. Employee phone list, departmental information.
- Order supplies weekly and business cards as needed.
- Assists with special projects as assigned
- Additional duties may be assigned.’
Education and Experience
- High School Diploma required, college degree a plus.
- One to two years related experience and/or training; or equivalent combination of education and experience.
Required Skills/ Abilities
- Must possess strong communication and people skills, be personable and enthusiastic, and be professional and courteous.
- Must have a good attendance record and be timely.
- Must possess high energy, be flexible, and must be able to handle multiple tasks.
- Must possess problem solving and decision-making ability.
- HRIS experience, Workday preferred.
- Proficient computer skills with Microsoft Office including Word, Excel, Outlook, and Publisher.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at a time.
Compensation:
The expected annual base salary for this non-exempt role is $33,280 – $37,440. Final offers for this role will be made within the parameters of the salary range provided. Years of experience, skills, and other factors are considered when determining the salary offered. Total compensation & offer package will include the following:
