POSITION DESCRIPTION: Responds to requests from executive leadership, members of Central Office (CO) and District Human Resources Offices (HROs), and other internal and external stakeholders for reports containing confidential employee data. Coordinates and prepares daily, weekly, bi-weekly, monthly, and quarterly recurring and on-demand (ad hoc) reports. Assists with establishing methodologies for creating new (original) report types not already available in People First. Accesses confidential employee (source) data contained in the People First human resources information system catalog views, Business Objects – Web Intelligence, Performance and Talent Management System (PTMS), and internal HRO SharePoint databases. Formats source data into finalized reports utilizing a variety of functions to include pivot tables, vertical lookup tables (VLookup) and data visualization software (PowerBI). Works closely with the Budget Office and the Office of Information Technology (OIT) to research, identify, and reconcile employee data discrepancies in People First, Florida Accounting Information Resource (FLAIR), and other databases.

Acts as liaison with the People First Service Center and point of contact in support of the Department’s performance management process in accordance with established procedures, guidance, rules, and statutes. Provides information, technical support and resolves PTMS navigational issues for Department managers, supervisors, and CO/District HROs. Provides executive leadership with status reports as needed. Acts as liaison with the Florida Commission on Ethics and point of contact in support of the Financial Disclosure reporting process. Provides executive leadership with status reports as needed. HRO point of contact for the Department’s Internship Program providing technical assistance with tracking and reporting program data and responding to or forwarding applicant inquiries to the appropriate area.

Organizes and coordinates computer security and all systems access for CO and District HRO staff members with OIT’s Security Office. Conducts the annual staff access and recertification/validation process.

Serves as the SharePoint Administrator and Web Author for HRO external and internal websites. Works closely with CO HRO subject matter experts, District HROs, and other Department offices to ensure hyperlinks are functioning and the information contained on websites is accurate and up to date.

Coordinates mass load activities with the Department of Management Services, District HRO’s and the Comptroller’s Office.

KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of State of Florida human resources employee data. Knowledge of analytical principals and using raw (source) data to create original report types. Skill in the use of Excel, PowerBI, programing language (SQL or Python), and SAP tools. Skill in customer service techniques. Ability to independently conduct research, analyze data, identify errors, and resolve discrepancies. Ability to organize and format data into logical formats for presentation in reports. Ability to work and communicate well in a collaborative team environment sharing and completing teamwork assignments on a daily basis. Ability to successfully manage multiple work assignments, projects and deadlines.
