POSITION SUMMARY: The Invoicing Supervisor is responsible for supporting the sales invoicing function of the Poles and US lumber Divisions. The individual will lead the monitoring, billing, and correction processes related to the customer invoicing function, providing overall guidance to a team of Invoicing Clerks. This role also supports EDI invoice submissions to customers, processing of customer credit memos and the FAA (Freight Accumulation Account) program.
The successful candidate will be a change agent, capable of influencing the sales invoicing process by developing process improvements in BlueBee and documenting control and process procedures in SAP to reduce invoicing lags and inaccuracies. The individual has the ability to leverage SAP to optimize Stella-Jones’s revenue cycle.
Sales Invoicing
- Oversee the daily invoicing process, ensuring that shipping documents are properly reviewed, proofs of delivery are retained, and invoices are distributed to customers through the appropriate channels.
- Ensure orders are invoiced in a timely manner once shipment notification is received.
- Lead a team of clerks in handling transactional inputs into BlueBee, SAP and Customer Portals.
- Create and disseminate invoicing reports to management.
- Proactively monitor customer sales orders for shipment and billing status, to clear backlogs and mitigate potential roadblocks.
- Coordinate all invoicing corrections, debit memos, and credit memos.
- Work closely with plant administrators, inside sales, transportation, and tax groups to correct issues related to the invoicing function.
- Ensure that company protocols are being followed to facilitate compliance with established internal controls.
Supervision / Oversight
- Prepare employee work schedules, approve vacations / absences.
- Training new employees.
- Coordinate cross-training of staff and ensure adequate coverage during absences.
- Supervising and providing overall guidance to a team of accounting clerks.
- Develop and distribute status reports on invoicing transactions, concerns
- Proactively engage with transportation and sales personnel for documents and status updates on shipments for timely invoicing
- Ensure that transactions are posted in a timely manner and that company objectives are met by the Invoicing Team.
Other
Provide support to the FAA (Freight Accumulation Account) program including timely allocation of freight invoices, report distributions, analysis and rate recommendations to sales for review and approval

Qualifications:
- AA or above in Accounting preferred but not required
- Five years of experience in related field.
- Two years of experience of supervisory experience (preferred)
- License/Certification: NA
Knowledge, Skills and Abilities:
- Prior experience working directly with invoicing or accounts receivable.
- SAP experience a must, preferably in the Order-to-Cash module
- Ability to dive into the data and identify system or transaction issues and errors.
- Experience leading a team of clerks.
- Effective interpersonal and communication skills

- Intermediate computer skills (Microsoft Office, SAP, Power BI)
