This position is remote, candidates should reside in the San Francisco, Dallas, Reston, Boston, Palo Alto, San Diego, Phoenix, Philadelphia, Houston, Chicago, Washington, DC, Los Angeles, or Seattle area.
Minimum Requirements:
- High school diploma
- 3 years’ office/administrative experience in a law firm or professional services organization
- Experience filing with the USPTO as well as knowledge of USPTO rules and practices, including docketing, public/private PAIR, US Prosecution, and formality requirements
- Must be a self-starter
- Must be able to work independently and within a team
- Strong communication, writing, and organizational skills in order to oversee the docket and keep attorneys and patent agents on track
- Strong computer skills are required, including Microsoft Word, Excel, and Outlook
- Proven administrative abilities and excellent judgment
- Ability to handle multiple time-sensitive tasks in a fast-paced environment
Preferred Requirements:
- Bachelor’s degree
- 3 years’ patent prosecution experience
- Knowledge of law firm time entry program (InTapp) and patent docketing software (AnaquaPATTSY)
- Ability to interpret rules in the 37 C.F.R. and Manual of Patent Examining Procedure (MPEP)
- Knowledge of the USPTO website, including PAIR, EFS, EPAS, and related websites
What will your day look like?
As an IP Administrative Specialist, you will provide patent prosecution support and assistance to the U.S. Filing team and ensure client service and satisfaction are attained in all areas of the position. You will develop and maintain strong relationships with assigned clients to deliver responsive and appropriate client service and anticipate future requests based on your understanding of client business needs.
You will prepare formal documents (assignment, declaration, power of attorney), obtain appropriate signatures, and follow-up as needed. You will file declaration and power of attorney documents, draft correspondence to clients regarding status updates of applications and patents, and report filing receipts for applications. You are responsible for preparing and filing responses to corrected application papers, restriction requirements, and preliminary amendments.
You will also maintain a personal docket for deadlines and review against the electronic weekly docket for assigned clients; proactively communicate with and remind practitioners of due dates; review daily dockets and attend to pertinent entries; and notify the docket department of any inaccuracies. You will create and file accurate and comprehensive submissions to the U.S. Patent and Trademark Office (USPTO). You will respond to underlying application and procedural issues, proactively handle unique situations, and record billable and non-billable hours worked in the firm’s time entry database on a daily basis.

In accordance with California and Washington’s Pay Transparency Law, pay range for this position, if hired to work in California or Washington is $80k-$115k. The compensation offered to a candidate selected for employment will be dependent upon various factors, including the candidate’s geographic market, skills, educational and professional background, experience and overall qualifications.
