We are seeking an experienced IT Vendor Management Specialist to join our IT Planning and Operational Excellence team. In this role you will be responsible for actively engaging with, managing, and monitoring IT vendor relationships for hardware, software, consulting, and other services.

As IT Operations and Vendor Management Specialist you will play a crucial role in coordinating vendor activities, managing vendor performance and assuring the successful delivery of products and services. The ideal candidate will have a strong background in IT vendor management, contract management, procurement activities, and the ability to collaborate effectively with both cross functional teams and vendors.

Responsibilities:

    • Identify and evaluate potential vendors based on business needs and requirements.
    • Coordinate vendor onboarding and offboarding processes, including due diligence for risk assessments.
    • Collaborate with cross functional teams to define vendor requirements and specifications, develop statement of work (SOW) document.
    • Partner with Procurement to negotiate contracts and pricing with vendors to achieve favorable terms and costs optimization.
    • Ensure rate cards are updated. risk assessments are completed, develop, and maintain vendor portfolio catalog.
    • Develop performance metrics and establish methodology to monitor vendor performance (KPI/SLA).
    • Act as liaison to monitor vendor relationship, performance and serve as a point of contact between vendors and stakeholders.
    • Maintain strong relationships with vendors, ensure effective communication, collaboration, establish and monitor performance metrics (KPI)
    • Proactively identify and address issues or discrepancies in vendor performance or deliverables
    • Collaborate with internal stakeholders to resolve any vendor related disputes or challenges.
    • Establish regular communication cadence with stakeholders and vendors, initiate business reviews (QBR)
    • Ensure compliance with vendor agreements and monitor vendor performance.
    • Develop and implement efficient processes and workflows to optimize operations.
    • Identify process bottlenecks and areas for improvement, proposing and implementing solutions.
    • Process Jira ticket requests, SAP Requests/ purchase requisitions, update procurement tracker, and ensure timely receipt of invoices/vouchering.
    • Identify and resolve vendor challenges (i.e deliveries, invoicing)
    • Track, monitor and report to leadership vendor performance, spend and opportunities for cost savings and improvement.
    • Support procurement and stakeholders with monitoring contractual agreements with vendors, including evaluating contract terms and identifying areas of improvement and risk.
    • Manage and track progress of initial procurement and renewals and provide status reports to IT team and stakeholders.
    • Maintain internal procurement and contract management systems.
    • Develop training material / documentation and hold brown bags for training, new tool training.

Minimum Qualifications:

    • Bachelor’s degree in information technology, Business Administration, or related field (or equivalent experience).
    • 5+ years of hands-on experience administering an IT Vendor Management program.
    • 5+ developing, implementing, and maintaining robust Vendor Manager programs.

Preferred Qualifications:

    • Experience defining KPI’s and integrating them into contract, managing and reporting on key performance metrics.
    • Strong executive presence, facilitation, and negotiation skills
    • Effective communication and interpersonal skills that foster collaboration and strong relationship building with IT teams, customers, and vendors.
    • Proficiency in data analysis, reporting and presentation tools, contact management tools and technology.
    • Experience developing SOW’s for RFQ/P’s, Professional Services contracts.
    • Ability to manage multiple tasks, set priorities and meet deadlines.
    • Detail and result-oriented with excellent analytical, research and resolution skills.
    • Able to work independently with minimal guidance in a rapidly changing environment.
    • Prior experience in negotiating is a plus.
    • Proficient in use of MS Suite, Excel, Powerpoint
    • Experience using Coupa is desired.
    • Experience with Jira and Service Now tickets
    • Confluence experience desired
    • SAP experience is desired.
    • Smartsheet experience a plus
    • Tableau experience a plus

Salary Range: The compensation range for this position is specific to the locations listed below and is the range Lucid reasonably and in good faith expects to pay for the position taking into account the wide variety of factors that are considered in making compensation decisions, including job-related knowledge; skillset; experience, education and training; certifications; and other relevant business and organizational factors.
• California (Bay Area) – $80,000 – $110,000

Additional Compensation and Benefits: Lucid offers a wide range of competitive benefits, including medical, dental, vision, life insurance, disability insurance, vacation, and 401k. The successful candidate may also be eligible to participate in Lucid’s equity program and/or a discretionary annual incentive program, subject to the rules governing such programs.
