In 1995 we started our first middle school, KIPP Academy, in The Bronx. Job Description

Position Overview:

KIPP NYC’s After School Administrative Associate is responsible for supporting KIPP NYC after school programs with administrative tasks. Reporting directly to the Senior Director of After School Programs, the After School Administrative Associate oversees tasks that will directly support the after school at a regional level. They will assist with tasks related to payroll, HR, finance and data collection. The After School Administrative Associate will possess superb organizational skills and set a high bar for ensuring tasks are completed.

This position is based out of the KIPP NYC office in New York, NY and requires frequent travel to KIPP NYC schools located in the Bronx, Brooklyn, Harlem, and Washington Heights. Due to the nature of the department’s work, this position may require time outside of general working hours, including, but not limited to, event coverage, social media management, and/or communications distribution.

This role is for the 2023-24 school year and can be renewed.

Duties and responsibilities include, but are not limited to:

  • Support After School team with identifying and contacting outside vendors for curricular by…
    • Researching possible vendors for use in DYCD programs
    • Making initial contact with vendors to collect data about programming
    • Arranging for the vendor to meet with Program Directors
  • Facilitate monthly audits of afterschool programs
    • Complete internal audits of employee files, student files and DOH/DYCD site visit items each semester
    • Maintain and update program binders with updated DOH and DYCD information for Program Directors
  • Support After School Program Directors and HR in hiring by…
    • Support new hire interview efforts (as needed)
    • Track new hire paperwork for candidates chosen by Program Director
    • Input all background checks for candidates into state reporting systems
    • Provide information to HR for new hire offer letter to be made
    • Maintain staffing rosters for each site
  • Support After School Program Directors and Finance
    • Manage credit card expenses being cleared by after school team
      • Manage all regional accounts created for the after school team
      • Ensure all expenses are cleared for the regional level credit card
    • Review expense trackers for correct payroll dates and completion
    • Process invoices Intacct
    • Track Spending of Esser Funds
  • Manage data collection and surveys for after school programs
    • Create midyear and end of year surveys for all after school programming
    • Plan, gather, and evaluate feedback from students, parents, staff and school leaders regarding after school programming
  • Fills in onsite at programs as needed.

Qualifications

Qualifications:

  • 2+ years experience in NYC after school programming strongly preferred
  • Knowledge of DOH regulations and DYCD grant compliance standards preferred
  • Experience working in out of school time programming preferred
  • Attention to detail with an ability to produce high-quality work in a dynamic, fast-paced environment
  • Strong work ethic, a sense of humility, and an entrepreneurial spirit to accommodate high level of responsibility
  • Excellent interpersonal skills, with the ability to develop productive working relationships
  • Demonstrated passion for and a commitment to the KIPP mission for high-quality public education and the character traits we value: zest, grit, self-control, hope, love, social intelligence, gratitude, and a sense of humor

Compensation and Benefits:

KIPP NYC offers a competitive salary ranging from $60,770 to $69,010 per year. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity, accounting for years of experience relevant to the role and scope of responsibilities, and are benchmarked against others within the same salary band. Starting salaries typically fall in the lower half of the salary range, however they are ultimately determined by scope of the position, the candidate’s relevant experience, and internal equity.
