Position Description
Job Title: Lab Coordinator, Reception, Facility
Location:Brooklyn, NY
Reports to: Laboratory Operations Specialist
Position Summary:
IAVI is seeking a highly motivated Lab Coordinator who will be responsible for the duties commensurate with an experienced front desk receptionist for both IAVI’s Design and Development Laboratory and its subtenant companies. The successful candidate will provide clerical support to the operations and facility staff as required.
Key Responsibilities:
Front Desk Reception:
- Manage the Design and Development Laboratory’s lobby area and other common space, attends to incoming telephone calls, and greets and directs all visitors and vendor services.
- Receive in-coming deliveries and prepares and arranges out-going deliveries, distributes mail, and assures that deliveries to the building arrive at the lab facility and that appropriate internal staff are notified.
- Promote adherence to standard security procedures at the DDL by issuing visitor badges and ensuring unescorted access is limited to authorized personnel.
- Maintain Operations team calendar and activities.
- Coordinate conference room
- Updates all reception notice
- Any other duties as assigned by the Manager.
Daily Operations Support at the BAT:
- Process and approve invoices for DDL Cost Center and reconciles invoices.
- Order and maintain inventory of basic office and lab supplies.
- Ensure operational communications are disseminated timely and appropriately.
- Schedule laboratory trainings for annual SUNY health assessments and renews certifications for laboratory staff (i.e. Certificate of Fitness, AALAS).
- Maintain up-to-date files of employee contacts, records, trainings, and
- Assist Operations personnel with expense
- Maintain IAVI DDL Purchasing Order (PO) Records
- Assist in set up and breakdown of meetings, lunches, and events.
Education and Experiences:
- Associate degree or bachelor’s degree is required.
- 2 years of administrative/front desk experience is required.
Qualifications and Skills:
- Proficiency with Microsoft Office Suite isrequired.
- Professional and hospitable demeanor isrequired.
- Excellent verbal and written skills arerequired.
- Self-starter who meets deadlines and can take initiative in the absence of their supervisor is highly desirable.
- Demonstrates ability to work effectively under pressure and multitask is highly desirable.

Compensation and Benefits Information for US-Based Candidates:
The annual base salary for this position is targeted at $45,000-55,000 with some variation based on experience level. In addition, this position offers competitive benefits such as annual bonus, generous retirement savings plan, three health insurance plans to choose from, and other benefits.
