Labor Relations Coordinator

The NYC Department of Design and Construction Law Division seeks a full-time Principal Administrative Associate III to work under the supervision and direction of the Labor Relations Senior Deputy General Counsel. The selected candidate will assist the Director of Labor Relations with answering phones, scheduling, and maintaining the calendar, attending meetings, and generating notetaking from the meetings. Essential duties include, but are not limited to, the following:
• Preparing COIB Annual Disclosure Reports, Labor Relations Memos, and monthly reports.
• Creating written templates and preparing correspondence using written templates for simple subject matters related to unions, NYC Office of Management & Budget (OMB), the agency’s Human Resources and Staff Development Division (HRSD), and the agency’s employees.
• Organizing and tracking Conflict-of-Interest Board (COIB) Annual Disclosures and Termination Reports.
• Following up on correspondence to notify staff of COIB Financial Disclosure requirements.
• Performing research on Labor Relations issues and inquiries, as needed.
• Updating and monitoring all Labor Relations and Disciplinary related databases, Excel spreadsheets, and written correspondence to ensure all information is current and accurate.
• Monitoring all correspondence related to Labor Relations and Disciplinary matters.
• Assisting and preparing grievance decisions.
• Preparing minutes for Safety & Health Committee meetings.
• Scanning and copying confidential documents.
• Creating, archiving, and organizing agency files.
• And performing additional related administrative/clerical duties as assigned.

Minimum Qual Requirements

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in “1” above; or
3. A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in “1” above;
4. Education and/or experience equivalent to “1”, “2”, or “3” above. However, all candidates must possess the one year of administrative or supervisory experience as described in “1” above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in “1” above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Preferred Skills

Candidate should possess strong analytic and computer skills, including proficiency using Microsoft Word, Excel and Access queries and reports. The candidate should have excellent verbal and written communication skills; a strong client service ethic; keen interpersonal skills; and the ability to collaborate with internal and external stakeholders at various organizational levels.
