Lead Administrative Support Assistant

The Children’s Division is seeking applications for the position of Lead Administrative Support Assistant within the Residential Program Unit. This position is based in Cole or Greene County.

What you’ll do:

  • Provide a variety of support functions and services to the Residential Program Unit.
  • Perform independent functions requiring attention to detail, the application of technical expertise, or specialized program knowledge.
  • Organize and track residential licensing actions and activities, confers with the RPU Managers and Regional Licensing Consultants regarding program statuses and issues.
  • Provide complex administrative assistance to support operational functions to include the scheduling, attendance, and recording of meeting minutes, the coordination of logistical arrangements for the Residential Program Unit, agency, or inter-agency efforts.
  • Oversee and ensure the accurate and timely preparation, review, posting, and processing of a variety of processes, documents, and licensing and services actions.
  • Manage and maintain all electronic files related to the Residential Program Unit.
  • Recommend changes in operational procedures for approval by the RPU Manager(s), prepare and communicate instructions and directives clearly regarding changes and clarification of policy, and ensures policies and procedures are properly implemented within the unit.
  • Track and monitor assigned operating unit budgets and spending plans; research and/or collect, assemble, and summarizes financial and statistical information when necessary.
  • Compose or draft correspondence involving the interpretation of agency rules, regulations, and program responsibility. Respond to inquiries from state officials, customers, vendors, and the public regarding agency matters.
  • Research assigned issues, compiles pertinent program information, and prepare complex ad hoc reports, spreadsheets, and/or databases accurately and timely.
  • Exercise independence in decision-making based upon knowledge of agency operations, policies, and procedures.
  • Perform other related work as assigned.
