This position manages the administration of alliance Real Estate leases and other agreements including billing, insurance, lease security, tracking of critical lease dates and associated utility billing and services. Serves as consultant/advisor to other alliance staff in need of lease or utilities data or technical assistance. Provides support for lease development/processing, procedures documentation, budget variances, utilities, and cost recovery. Responsible for developing/monitoring and maintaining updated procedures for lease management processing and procedures.
Primary Functions

  • Support the Real Estate Agreement development process. Review lease submission package. Review and certify insurance and surety documentation.
  • Create and maintain accurate lease files. Initiate the document transmittal process of these documents to the Accounting Department. Analyze and recommend improvements in systems and other productivity tools.
  • Insert all lease related data in the Yardi Property Management system. Audit data for accuracy. Work with Accounting staff to ensure timely and accurate tenant billing. Monitor enforcement of agreement provisions and lease related exception reports. Work with the Real Estate Manager on the lease termination/close out process.
  • Lead utility billing and utility administration in both harbors.
  • Monitor systems and procedures in terms of billing of leases and utilities and consider alternatives for improvements. Monitor assigned lease and utility (expense and revenue) budgets.
  • Work with the Real Estate Manager on the commission memo preparation process.
  • Promote, establish, and sustain strong working relationships with internal and external customers.

Required Education & Experience
Associate degree with emphasis in math, English, statistical analysis, accounting, contract management, real estate or a related field is required. An additional two (2) years of relevant experience may substitute for an associate degree.

Two (2) years of experience providing high-level professional and technical support in customer service, sales, commercial, business development or related environment is required.

Must have proven experience in the use of Microsoft Outlook, PowerPoint, Excel, and Word. Experience in a real estate environment is preferred. Working with legal documents or experience in records management is also preferred.

Additional Requirements
Working knowledge of legal documents related to real estate leases and agreements including ability to proofread these documents during the document preparation process. Knowledge of utilities and utility billing – water, sewer, storm water, electric, natural gas, HVAC, steam, and solid waste. Ability to enter data accurately and efficiently. Able to analyze and identify administrative, operational, procedural, and organizational problems, and provide viable options for corrective actions. Able to learn and operate complex systems such as SharePoint, Yardi and Maximo. Review/audit financial records and documents, prepare clear, concise, and comprehensive reports and correspondence. Possess effective interpersonal communication skills including written and verbal; workflow analysis and decision making, problem solving, team building, writing and time management skills. Exercises discretion in dealing with sensitive and complex matters.
