This position requires an individual with both comprehensive knowledge of the office suite applications and legal document processing. A working knowledge of office practices, in addition to, a high degree of skill in applying software functions to prepare complex and detailed documents is required. Someone who can initiate routine legal tasks under supervision of paralegals or attorneys. Informs attorneys of significant issues in a timely manner. Reviews materials and provides comments to attorneys in the form of reports and summaries. Conducts research, performs a variety of legal assignments, and manages routine projects, including drafting, reviewing and transmitting legal correspondence and documents.
As a legal practice assistant, you will…
- Provides a high level of direct support to attorneys, paralegals and legal support staff, and assigns tasks and projects.
- Timely completion of assigned attorney’s expenses, including transaction reconciliation and collection of digital and hard copy receipts
- Outlook Calendar Management and Maintenance: coordinating meetings with colleagues, internal and external clientele. Addition and technical support of A/V prior to and during meetings.
- Contribution to departmental projects and committees, including event coordination, catering, hosting, room/hotel booking and reservations, and coordination with Reception for visitor badges.
- Coordinate Business Travel: research flights and hotels based on attorney preferences, booking, create itineraries.
- Manage bar dues, renewals and registrations, as well as CLE recording and reporting.
- Responsible for continued legal education and training in respective field, as well as attend training offered by company.
We’d love to hear from people with:
- 5+ years experience in a legal assistant capacity, and the ability to span across multiple practice areas such as Licensing, Intellectual Property (IP), Employment, Real Estate, Litigation, and Commercial
- Demonstrates an understanding of ethics of position, including ethical rules regarding confidentiality, billing, client representation and advocacy.
- Possesses strong oral and written communication skills to effectively communicate with attorneys and staff.
- Detail-oriented and a proactive self-starter who demonstrates the ability to perform with minimal supervision.
- Self-motivated, resourceful, and able to work independently and as part of a team. Ability to work effectively with challenging individuals and groups, and to handle stress and conflict with diplomacy.
- Knowledge of legal principles and practices at a level normally acquired through formal training or its equivalent.
- Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to remain focused under stressful situations.
- Computer proficiency, ability to work in Microsoft Office Suite and practice-related databases and software programs, including Microsoft Word, Excel, PowerPoint, Anaqua, and Smartsheet. Intermediate to advanced level.
- Must have strong organization skills that result in efficient and timely work product.
