Position Summary:
The Legal Secretary must have substantive knowledge and understanding of Litigation, including filing documents in both state and federal courts. Experience must include include managing databases, filing in various jurisdictions, and working with Paralegals in preparation for trials. Working knowledge of Relativity, PACER, CM/ECF, Westlaw, Lexis, as well as other relevant litigation applications is preferred. The candidate should be solutions oriented, have excellent analytical, organizational and communication skills. This position may perform additional duties and responsibilities relating to the assigned Practice Group. The Legal Secretary works under general supervision and relies on instruction and guidelines to perform the essential functions of the job. Essential Functions and Responsibilities:
- Edit, proofread, and redline documents and correspondence for accuracy, grammar, and formatting
- Organize and maintain attorney client lists, contacts, and calendars, including travel logistics and scheduling
- Coordinate opening and closing matters
- Answer incoming telephone calls and document and relay messages
- Coordinate meeting logistics, including scheduling, arranging videoconferences, conferences calls, and conference rooms; requesting equipment and food and beverage orders; preparing presentation materials; and welcoming visitors
- Prepare client bills and related forms and arrange for expense advancement, reimbursement, and invoice payments
- Input, review, edit, and update attorney time entries and print reports
- Handle incoming and outgoing mail
- Organize and maintain paper and electronic files in accordance with Firm records retention policies
- Assist with secretarial overflow as needed
Job Specifications:
- Bachelors degree
- At least five (5) years of related work experience
- Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint and Word)
- Strong written and verbal communication skills
- Strong organizational skills
- Ability to work under tight deadlines and prioritize responsibilities
- Ability to maintain and handle confidential information
- Ability to work effectively in a fast-paced environment
