POSITION PURPOSE
The Mailing Coordinator plays a vital role in ensuring compliance with USPS regulations and is responsible for managing all mailroom equipment, coordinating maintenance with vendors and executing complex bulk and on-campus mailing projects. This position reports to the Printing and Mailing Supervisor and ensures that all mail is delivered in a timely and efficient manner, while upholding the highest standards of quality and accuracy. This is a 12-month position with a 0.94 FTE working 37.5 hours weekly.
PRINCIPAL ACCOUNTABILITIES
- Manage and execute daily mailroom operations, such as handling high-volume bulk mailings, overseeing on-campus mail processing, coordinating maintenance and software updates.
- Provide exceptional customer service to all campus clients and maintain positive relationships with USPS and other mailing vendors.
- Monitor and learn new or modified postal regulations.
- Receive and process USPS and FedEx assignments from college personnel, including selecting the best mailing option and handling intake details.
- Process daily business reply mail breakdowns and send mail through campus mail to relevant departments.
- Operate the printers and folder/inserter for mail merges and other projects.
- Receive cash payments, count change, and manage petty cash account.
- Operate a golf cart for specific deliveries and distribution of material on campus.
- Maintain records, including filing, tracking charges for campus departments, USPS and FedEx activity reports, and reconciliations.
- Supervise and train student workers.
- Perform other duties as assigned by the Printing and Mailing Supervisor, including filling in for Printing and Mailing and Reid Campus Center Post Office.
REQUIRED KNOWLEDGE SKILLS & ABILITIES
Individuals must be able to demonstrate the knowledge, skills and abilities to safely perform the job’s essential functions, with or without reasonable accommodation:
- Computer proficiency, including experience using the computerized equipment and intermediate knowledge of Excel.
- Excellent communication skills, both written and verbal.
- Exceptional customer service and interpersonal skills, including the ability to work well with others.
- Knowledge of USPS regulations, including permit usage and bulk mail, would be a bonus.
- Ability to learn and become proficient in using mailroom equipment, including USPS postage meters, envelope printers, folder/inserter machines, FedEx computers and printers, copy machines, binding machines and cutting machines.
- Ability to positively and actively contribute to the college’s core values of diversity, equity and inclusion.
- Ability to work well under pressure and cross-train for department needs.
- Ability to keep up with changes to postal regulations and adapt judgment in mailing processes.
- Ability to move cartons up to 50 pounds.
MINIMUM QUALIFICATIONS
- High school diploma.
- A valid driver’s license and good driving record in order to drive both a van and golf cart.
PREFERRED QUALIFICATIONS
Two years of related work experience.
