PURPOSE OF JOB
As marketing operations coordinator, you will play a pivotal role in implementing the Alpha USA marketing efforts. You will be responsible for coordinating a variety of marketing activities, implementing efficient processes, and ensuring the seamless execution of campaigns across content channels.
You’ll thrive in this role if you are detail-oriented with strong organizational skills, and have a passion for marketing and communication.
The person in this role will work with a cross-functional team of internal stakeholders and external vendors throughout the creative process to track, coordinate, and implement marketing deliverables/tactics on multiple projects at a time. These include holding the details of our content calendar (email, social, digital ads, and home page banners), and ensuring creative is delivered and published on time. This person will schedule cross-departmental team meetings, working closely with the marketing and project management teams to ensure alignment on project goals.
KEY RESPONSIBILITIES (INCLUDED BUT NOT LIMITED TO)
- Play an active role in the marketing team to help plan and create key marketing initiatives, launches, promotions and materials.
- Manage relationships and project work between project management office, marketing, and outside vendors.
- Own and deliver all executables on the annual content calendar; this includes coordinating with external vendors (writers, creative agency) and internal stakeholders to ensure inbound marketing deliverables are completed and published on time (drafted, routed for review, designs completed, etc.).
- Collaborate closely with cross-functional teams including content creators, design, our digital strategist, and more to ensure alignment and successful campaign execution, and delivery of annual projects (i.e. fall campaign launch, new product launches, product updates, training resource updates, and more),
- Track and analyze relevant metrics and data across our channels using heatmapping, GA4, and other tools– create reports and recommendations to optimize content.
- Work with cross-functional teams to coordinate deadlines, objectives, and schedules for aligned communications.
- Work closely with the IT team to define list segments and targeting for a variety of campaigns.
- Manage asset storage and organization across multiple platforms (Dropbox, Sharepoint, Vimeo, etc.)
- Contribute to marketing strategies with goals focused on both the short- and long-term.
- Provide quality checks on external communications to ensure brand quality and consistency.
- Compliance: assist the marketing and communications team in ensuring adherence to accessibility and privacy guidelines.

ESSENTIAL SKILLS, KNOWLEDGE AND EXPERIENCE
- Proven experience in marketing operations, coordination, or related field.
- Strong organizational skills with the ability to manage multiple tasks effectively, with an eye for important details.
- Excellent verbal and communications skills.
- Familiarity with content platforms and data asset management systems strongly encouraged.
- Ability to work well under pressure and manage time effectively.
- Ability to work in a fast-paced environment, independently or in a team.
PREFERRED SKILLS, KNOWLEDGE AND EXPERIENCE
- Understanding of SEO
- Understanding of GA4 and heatmapping tools
- Basic functionality of automated marketing and tools that support automations (Hubspot, Salesforce, Campaign Monitor, etc.)
EDUCATION
- Bachelor’s degree in marketing, business administration, or related field
- Alpha experience is preferred

KEY RESULTS
Success in this role will be proven by both internal and external key results. Examples of these are:
Internal
- The content calendar and all of its deliverables would be adhered to and produced on time each month. Adjustments as needed due to a change in strategy will be addressed quickly and collaboratively with key stakeholders (e.g., director, digital strategist, requesting team leader).
- Participate in regular collaborative team meetings to ensure marketing is represented in areas where external communications or marketing collateral may be needed.
- Review marketing data quarterly to create an informed recommendation for future external communications and content. Work closely with digital strategist and vendors to adjust deliverables accordingly.
External
- Increase quality of marketing deliverables by EOY 2024 as reported by key stakeholders.
- Identify strategic pages on alphausa.org and each page’s SEO needs, implement SEO on these pages by EOY 2024.
- Hold relationships with key vendors-writers, designers, creative agency, GA4 expert, web vendor-ensuring clarity in deliverables and timelines for the marketing team.
