COMMUNICATIONS DIVISION
OFFICE ASSISTANT III (SR-10)
Summary of Duties:
This position, assigned to the Communications Division, is under the direct supervision of the Executive Officer. The incumbent works closely with the Finance Division and is required to meet deadlines; must be able to deal effectively with fellow employees and the public. Must develop a good overview of the department’s administrative procedures specifically as it applies to assignments and pay.
Example of Duties:
Handles all matters and reports concerning payroll.
- Maintains and updates the division time sheet, automobile, weapons, uniform allowance and divisional rosters.
- Compiles the division time sheet at the end of each pay period ensuring that all entries have been completed and that special assignments, temporary assignments, requested leaves of absence and compensatory times are correctly logged by supervisory personnel.
- Posts information from the time sheet to CHRMS for submission to the department’s Finance Division.
- Ensures that all overtime, leaves, and special assignments correspond with requests submitted by personnel and approved by the division commander or his designate.
- Maintains overtime and compensatory time cards for the division, ensuring that all overtime activities and records are in conformance with collective bargaining unit contracts, i.e., night differential, back-to-back, standby and other pay.
- Initiates and types memos regarding payroll information for division commanders’ signature.
Minimum Qualification Requirements
Training and Experience:
A combination of education and experience substantially equivalent to graduation from high school, including or supplemented by course work in typing, and two years of clerical experience.

Knowledge of:
Office practices and procedures; filing methods and systems; grammar, spelling and word usage; the purposes and uses of standard office machines; principles and practices of supervision.
