Overview:

The newly created Florida Gaming Control Commission (FGCC) is a five-member commission appointed by the Governor. The FGCC is charged with investigating and enforcing Florida pari-mutuel and gaming statutes and rules.

The FGCC is searching for an Office Automation Analyst to support the Office of Information Technology and Chief Information Officer.

Position Overview and Responsibilities:

This position is both technical and administrative and will assist and support the Chief Information Officer and Office of Information Technology in the development of training materials, instructional design, graphic and visual design as well as conducting daily administrative tasks and/or assignments in support of OIT.

Instructional Design:

  • Develops educational documentation on information systems and services provided by the Division of Information Technology and assists in conducting user-training.

User Support:

  • Provides assistance agency-wide as it relates to the installation and implementation of automated office systems to include personalization of systems to correspond with the needs of the users

Digital Design:

  • Coordinates the preparation of digital and written materials in order to thoroughly utilize multi-function office systems.

Administrative:

  • This position will conducting daily administrative tasks and/or assignments as well as processes a variety of correspondence including confidential and privileged personnel-related matters and maintains personnel files.
  • Assist in purchasing to include identifying options for purchasing, quotes and receiving and processing invoices.
  • Performs travel arrangements, processes travel authorization requests, and prepares travel reimbursement expenses.
  • Assists in performing special projects or activities and other major office functions.

Minimum Qualifications for this position include the following:

  • Two (2) years’ experience as an Administrative Assistant, Administrative Secretary or Staff Assistant.
  • Proficient in Microsoft Word, Excel and Outlook.
  • Experience developing marketing materials and other visual media.

Additional preferences:

  • One (1) year of working experience with My Florida Market Place (MFMP), State P-Cards and FLAIR.
  • Exceptional grammar skills.
  • One (1) year of working with Adobe Creative Cloud.
  • One (1) year of experience with SmartSheet

REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:

Experience in office procedures and practices; experience of the principles and techniques of effective communication.

Ability to use correct spelling, punctuation and grammar; type letters, memoranda and other standard business forms in correct format; operate general office equipment; handle telephone calls in a courteous, professional and effective manner; plan, organize and work independently; establish and maintain effective working relationships with others.

Skilled in current STMS practices; Microsoft office suite; analyze situations; identifying errors and take correction action; understanding and applying applicable rules, regulations, policies and procedures related to a retirement program; and perform mathematical calculations.

Skilled in Adobe Creative Cloud or similar products.

BRIEF DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

  • Develops educational documentation on information systems and services provided by the Division of Information Technology and assists in conducting user-training.
  • Provides assistance agency-wide as it relates to the installation and implementation of automated office systems to include personalization of systems to correspond with the needs of the users.
  • Coordinates the preparation of digital and written materials in order to thoroughly utilize multi-function office systems.
  • Assists management in conducting daily administrative tasks and/or assignments.
  • Processes a variety of correspondence including confidential and privileged personnel-related matters and maintains personnel files.
  • Assists in performing special projects or activities, preparation of contracts and renewals, and other major office functions.
  • Responsible for outgoing mail, preparing mailing labels and sending overnight mail to vendors.
  • Performs travel arrangements, processes travel authorization requests, and prepares travel reimbursement expenses through the Statewide Travel Management System.
  • Assist in purchasing to include identifying options for purchasing, quotes and receiving and processing invoices.
  • Provides customer service to state employees, other governmental agencies and the public with information pertaining to the statutes, rules, policies and procedures.
  • Responsible for approving or processing of vendors’ invoices or distribution of warrants to vendors as required by Florida Statutes 215.422.
  • Provides assistance in budget, compliance, fiscal, statistical, reporting, technology and other major office functions.
  • Perform other duties as required.
