Overview
The Office Coordinator at the Nampa Civic Center is the first point of contact for many of our guests. This team member must be enthusiastic and committed to bringing professionalism & guidance to the office, clients, and guests. This role will be multifunction, utilizing their skillset to help maintain current practices & procedures, while remaining flexible to adapt as change occurs. This is a FT hourly position that reports directly to the Facility Director.
This role will pay a wage of $17 to $20.

Responsibilities
- Handle all administrative duties to keep the office functioning effectively.
- Deliver highest quality customer service on the phone and in person.
- Greet visitors, determine their needs, and direct them appropriately.
- Help walk in visitors set up appointment times with staff.
- Provide walk in visitors with booking resources as needed.
- Maintain and ensure physical office space is professional and presentable.
- Process mail according to set procedures daily.
- Manage office supplies inventory and place orders as needed.
- Assist Finance Department as needed to ensure effective internal controls.
- Responsible for answering the main phone line, screening calls, providing information regarding events, take messages, and schedule appointments.
- Coordinate with IT/Phone/Internet vendors on all office equipment including troubleshooting technical issues, new employee equipment set up and onboarding needs, assisting clients with technical issues that concern vendors.
- Manage building laptops, ipads, desk top phones, and office equipment.
- Schedule vendors for building maintenance as needed.
- Creates signage for weekly events.
- Assists box office with daily ticket sales.
- Manages distributions bi-weekly pay checks to part time staff.
- Manages Final Event Contract, Certificates of Insurance, and required deposits according to set procedures.
- Add public events to community calendars.
- Manage lost and found.
- Carries out administrative tasks such as filing, scanning, document preparation.
- Manage part time employee application & interview process
- Review & screen part time employee applications
- Schedule interviews with hiring manager
- Assist Finance department with new employee paperwork & file retention
Qualifications
- Microsoft Office
- Computer Literacy
- Bachelor Degree/AA or High School Diploma Preferred
- 1-2 Years Experience in professional office setting
- Excellent email communication skills
- Excellent people skills
