This is a highly responsible position in which the individual provides overall office support to the Office of Business Opportunity and the Office of Operational Support in the Division of Cannabis Regulation (DCR). The successful candidate will be a part of a dynamic, fast-paced environment with many competing priorities. The Lead Administrative Support Assistant (LASA) assists with tasks related to organization to ensure that the Office team are operating smoothly and efficiently. The ideal candidate will have attention to detail, excellent time management skills, and posses the ability to work closely and collaboratively with other staff involved in program implementation.

What You’ll Do:

  • Serves as lead administrative support assistant responsible for a variety of office support functions or services for the Office of Business Opportunity (OBO) and Office of Operational Support (OOS) staff.
  • Manage scheduling on behalf of the Chief of OBO and Chief of OOS, maintain team meeting calendars, arrange travel, meetings/conferences calls, take minutes as needed, handle incoming/outgoing calls, mail, and disseminates information in a timely manner.
  • Oversees and ensures the accurate and timely preparation, review, posting and processing of a variety of fiscal, personnel and other documents (e.g., prepare expense reports and purchase requests).
  • Completes assigned projects such as filing, word processing, compiling/preparing spreadsheets, completes various types of requests (e.g., reports, presentations, record requests, etc.) and operates general office equipment.
  • Create tickets for webpage posts during times of high work volume in order to ensure communication is posted to the website.
  • Assist the division trainer in preparing for New Employee Orientation to assist with onboarding new hires.
  • Provides ongoing clerical and data-entry support.
  • Coordinate, review and track multiple projects and documents.
  • Collaborate with and assist DCR support staff on Division tasks, items and issues.

All You Need For Success:

Minimum Qualifications

  • Three to five years of relevant experience (substitutions may be allowed).
  • Possesses a positive attitude, strong critical thinking skills, exceptional organizational skills and the ability to work in an evolving team dynamic.
  • High level of commitment, exceptional customer service and maintain confidentiality.
  • The ideal candidate must be able to work independently, multitask and demonstrate initiative.
  • Ability to use the Microsoft Office Suite proficiently and quickly learn specialized systems.
  • Comprehensive knowledge of state government office practices, procedures, systems, and equipment is preferred.
