Job Summary and Responsibilities/Duties

Job Summary
Maintains the development database, gift processing, and general administrative tasks to build and maintain a successful Foundation Development program.

Essential Duties

  1. Utilizes the development database to record all gifts.
  2. Enters and processes all forms of daily payment information including checks, cash, and credit cards, gifts in-kind, stock gifts, and invoice reminders.
  3. Prepares, selects, merges, and sends appropriate and individualized gift acknowledgement letters for sponsorships, in memoriam, stocks, etc. Ensures acknowledgement letters are mailed to donors within 48 hours of receipt of gift.
  4. Processes recurring gifts and reconciles monthly staff giving with the College’s payroll department.
  5. Performs routine imports, exports, and data mapping between the development database and other databases.
  6. Creates query-based list exports for regular mailings and e-blasts scheduled throughout the year for targeted solicitation appeals, alumni and donor appreciation event invites, scholarship donor renewals.
  7. Performs record and data cleanup/updates in the development database to ensure consistency and integrity.

Additional Duties

  1. Keeps up to date on industry trends and software
  2. Performs all other duties as assigned.

Minimum and Desired Qualifications
Education: Associates degree in marketing, communications, business, or related field
Experience/Training:

  • Minimum (3) years of experience performing clerical or administrative duties, including at least one (1) year of experience using databases and processing payments
  • Intermediate skills utilizing Microsoft Word, Excel, and Outlook

Equivalent combinations of education and experience may be considered.

Desired Qualifications

  • Bachelor’s degree in marketing, communications, business, or related field
  • Experience with Raiser’s Edge software and certification preferred
  • Experience processing payments, reconciling accounts, and performing audits
  • Familiarity with auction related software, preferably Greater Giving
  • Familiarity with meeting and event space booking software

Work is typically performed in a normal office environment while sitting at a computer terminal. Repetitive hand/wrist motion for data-entry and keyboarding functions.
