Summary

Coral Gables operates under a commission/manager form of government and is well known for its active and involved citizenry. This is a specialized and technical position which is responsible for the design and illustration of marketing/advertising materials and dissemination of content to the public through various media outlets to include but not limit to social media, email campaigns, city web pages, and etc. The Marketing Assistant is responsible for assisting the Marketing Specialist in the design and production of the RecNews electronic newsletter via ConstantContact, and other city publications. The Marketing Assistant may also be called upon to assist with special events to take photos and perform related duties, answer inquiries from the public and provide information on recreation events and activities. The incumbent reports to the Marketing Specialist, and exercises considerable initiative and independent judgement under the general supervision of the Community Recreation Director, Assistant Director, and Administrative Operations Supervisor.
Job Duties and Responsibilities
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.

Creatively designs and produces marketing and promotional materials for programs, events and activities of the Coral Gables Community Recreation Department.

Researches, writes, prepares and edits accurate marketing and promotional materials, signage, reports, and other publications.

Assists in the development of marketing and/or promotional displays.

Maintains photo archives of the Community Recreation Department.

Serves as photographer at special events and coordinates photo shoots of programs and activities.

Assists with updating and maintaining city web pages and Facebook pages. Monitors the city’s web and social media presence and tracks the impact of campaigns on target audiences.

Conducts surveys and evaluations on behalf of the Department.

Remains informed of new technology, best practices, and advancements in marketing and media.

Attends all staff meetings, trainings and other functions as required.

Must be able to work a flexible schedule to include occasional nights, weekends and holidays.

Must observe and comply with all policies, rules, regulations, laws and ordinances of the Department and the City of Coral Gables.

Performs related duties as assigned.
Qualifications

Minimum age 18 years and High school graduate.

College course work in visual art, graphic design, marketing, communication, advertising, public relations, or a related field preferred.

Two years experience in marketing preferred.

A comparable amount of training or experience may be substituted for the minimum educational requirement.

A portfolio of current works or sample of work in graphic design, marketing, publicity or multi-media must be made available at the time of interview.

A valid Florida Driver’s License.

PART-TIME (15-24 Hours):

ANNUAL LEAVE: 4 days per year (1 day is equivalent to 4.80 hours). Leave is accrued but not able to use during first 90 days of employment.

SICK LEAVE: 4 days per year. Employees may convert to annual leave 15 hours if more than 2 days have been accrued and unused during the fiscal year.

HOLIDAYS: 11 holidays (If scheduled to work, plus 1 floating day).

BEREAVEMENT: 3 Days for the death of an immediate family member (Parent, spouse, or child) and 2 days for any other immediate family member.

ADMINISTRATIVE SICK LEAVE: Employees who have not used sick leave, leave without pay, or have not lost time due to an on-the-job injury in a 6 month period are entitled to 1 day of administrative leave.

CASH PAY OUT OF VACATION: Employees may request payment of accrued/earned annual leave not to exceed 15 hours at the rate of pay in effect at the time of the request, provided such request is made no later than September 30, 2015 (or as amended every fiscal year).

MILITARY LEAVE: 30 work days every year with pay and the remainder of the period shall be without pay, unless otherwise provided by City Commission.

JURY DUTY: Time off with pay if scheduled to work.

PART-TIME (25 -29 Hours)

ANNUAL LEAVE: 8 days per year (1 day is equivalent to 5.80 hours). Leave is accrued but not able to use during first 90 days of employment.

SICK LEAVE: 8 days per year. Employees may convert to annual leave 30 hours if more than 4 days have been accrued and unused during the fiscal year.

HOLIDAYS: 11 holidays (If scheduled to work, plus 1 floating day).
