About the Part-Time Production Coordinator Role:

BRIC seeks a highly organized and detail-oriented Production Coordinator to join our dynamic team. This role will work closely with the Production Manager and various artistic and technical departments to coordinate and oversee the planning, execution, and logistics of productions, events, and educational initiatives. The Production Coordinator will be responsible for managing schedules, liaising with internal and external stakeholders, and ensuring the smooth operation of our artistic endeavors.

What You’ll Do in the Role:

The part-time Production Coordinator will be responsible for the following in addition to any other project as assigned by their manager, the Director of Production:

  • Coordinate and execute all production-related activities, including but not limited to rehearsals, load-ins, technical rehearsals, performances, and strike.
  • Collaborate with the Production Manager to create and manage production budgets, ensuring cost-effective operations while adhering to artistic vision and quality standards.
  • Facilitate effective communication and coordination among artistic, technical, and administrative teams to ensure timely and accurate implementation of production plans.
  • Liaise with artists, designers, directors, and other creative personnel to gather and disseminate production-related information, ensuring all parties are well-informed and aligned.
  • Manage production schedules, including planning and coordination of rehearsals, technical needs, and performance dates, while accommodating artistic requirements and operational constraints.
  • Oversee the coordination of production logistics, such as transportation, accommodations, and equipment rentals, to ensure seamless execution of events.
  • Coordinate with external vendors, suppliers, and contractors to secure necessary production resources, ensuring timely delivery, adherence to budgetary guidelines, and quality standards.
  • Collaborate with the Marketing and Communications team to support the promotion and publicization of productions and events.
  • Assist in the recruitment, hiring, and supervision of production staff and volunteers, ensuring they are adequately trained and supported.
  • Maintain accurate production documentation, including contracts, schedules, contact lists, and production reports.
  • Uphold safety protocols and compliance with applicable regulations, ensuring a safe working environment for all personnel involved in productions.
  • Stay updated on industry trends, best practices, and technological advancements relevant to production coordination, and incorporate them into our operations when appropriate.

  • Experience & Qualifications:
  • Bachelor’s degree in Theatre, Arts Administration, or a related field (or equivalent experience).
  • Previous experience in production coordination, preferably in a musical theater or performing arts environment.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse teams and stakeholders.
  • Proficiency in project management tools, production software, and office productivity tools.
  • Knowledge of technical theater, including lighting, sound, stage management, and scenic construction, is highly desirable.
  • Familiarity with budget management and financial reporting.
  • Ability to adapt to a fast-paced and dynamic work environment.
  • Flexibility to work evenings, weekends, and irregular hours, as required by production schedules.

Other Things to Know:

  • Compensation: The rate for this position is $30/hour.
  • Status and location: This is a part time role based in our Brooklyn office. 15-20 hours per week, 30-60 hours per week leading up to JazzFest (JazzFest Dates: 10/20 – 10/22).
