This full-time Payroll and Accounts Payable Coordinator has a schedule of 8:00 am – 5:00 pm, Monday – Friday and is located at our Arcadia, CA business office. In this vital role, the Payroll Coordinator will processes biweekly company payroll and semimonthly doctors’ payroll. Provide clerical support to the Accounting Team and Human Resources Team.

Pay rate: $30/hour to $33/hour

General Summary:

Processes Invoices, check requests, and reconciles vendor & credit card statements. Assist with the month end closing process by updating various spreadsheets. Processes biweekly company payroll and semimonthly doctors’ payroll. Provide clerical support to the Accounting Team and Human Resources Team.

List of Duties include, but not limited to:

  • Processes invoices and check requests to include coding general ledger account numbers, obtaining proper approval, assigning vendor numbers, matching invoices to purchase order and packing slip, and checking dollar amounts.
  • Maintains well-organized paid invoice and vendor permanent files.
  • Handles all vendor inquiries regarding invoices and payment requests.
  • Obtains W-9s as needed from vendors and prepares annual 1099s.
  • Assists Accounting Director and Chief Financial Officer (CFO) with updating various spreadsheets and performing special projects as needed.
  • Reviews employee time cards for accuracy, completeness and approvals. Ensures electronic batch is sent to Payroll Software Company in a timely manner.
  • Processes rate and withholding changes, direct deposit requests, garnishment orders, additions and terminations. Tracks available sick and vacation. Serves as liaison to Human Resources.
  • Generates disbursements related to payroll (advances, garnishments).
  • Generates invoices related to staff leasing.
  • Generates payroll related reports as requested.
  • Assists with the following tasks related to 401(k) plan:
    • Sends new employees a welcome message regarding their participation on the 401(k) plan.
    • Assists with annual census and audit.
    • Processes employee changes to contribution amounts.
    • Sets up newly requested loans in payroll system and sends employee the appropriate paperwork to ensure employee has their loan documents.
    • Prepares and uploads transmittal files to third party administrator.
    • Works with 401(k) account representative regarding any reports needed, employee questions, special requests, etc.
  • Prepares doctors’ payroll and calculates compensation for extras. Computes insurance withholding requirements. Prepares payroll schedules. Mails paystubs and payroll summary to doctors.
  • Administers doctors’ Business Expense Reimbursement Plan. Processes expense reimbursement requests in accordance with plan polices.
  • Handles inquiries from employees and doctors regarding payroll matters.
  • Keep up-to-date with changes in payroll laws and payroll system by attending periodic seminars.
  • Exercises extreme discretion in the handling of confidential information.
  • Provides backup to Accounting and Human Resources.
  • Maintains well-organized confidential payroll files.
  • Performs related work as assigned.

EDUCATION/EXPERIENCE:

  • Must have a high school diploma or G.E.D
  • Must have some college coursework completed
  • Minimum of one year of office and customer service experience
  • Two-year accounting degree preferred.
  • Two years of experience in payroll
