POSITION SUMMARY: At Seattle Humane, our approach to Human Resources management is rooted in our people and our culture. This position is the first point of contact to staff and leadership’s needs and concerns. The People & Culture Specialist is responsible for recruiting, candidate screening, scheduling hiring activities, conducting new employee orientation, benefit program administration, leave management, employee relations, HRIS administration and other general human resources functions. This People & Culture Specialist primarily works at the Seattle Humane campus with some occasional off campus opportunities.
KEY OR ESSENTIAL FUNCTIONS:
Arrivals, Departures and Changes
- Oversees the HR aspect of employees’ onboarding and offboarding process. Conducts pre-onboarding and HR Orientation procedures including badge access, employment eligibility, systems access, and more.
- Maintains current and accurate HR information over the HRIS (Paycom), responsible for communicating and updating employee status changes.
- Communicates HR changes to the organization on a weekly basis.
Record Keeping
- Maintains accurate and up-to-date employee personnel files and other confidential information.
- With the other team members, assures compliance with local and federal labor laws.
- Monitors unemployment and L&I claims
Leave Administration
- Works with Manager, People & Culture on approving/ denying leave requests (FMLA, Paid Family and Medical Leave, Unpaid Leave, Bereavement leave and more)
- Track leaves’ duration and eligibility, and communicates accordingly with employees and their managers.
- Communicates and coordinates with Finance team on personnel actions.
Benefits Administrations
- Administers Seattle Humane’s benefits package. Works with Manager, People & Culture and insurance brokers on yearly renewal and open enrollment.
- Provides ongoing service to employees as they encounter issues regarding their benefits.
- Oversees monthly payment for benefits providers.
Employee Relations
- Provides the first point of contact for employees and managers’ needs through the general department mailbox and with in-person coaching and counseling.
- Communicates HR policies and procedures ensuring accurate interpretation by the staff.
- Advises managers on employee disciplinary issues and ensures that actions adhere to policies and procedures.
Budget Monitoring
- Monitor the HR budget lines: benefits, uniforms, staff development, employee engagement and more. Reviews, seeks approval for, and enters departmental expenses and purchase orders.
SECONDARY FUNCTIONS:
- Ensures and provides a positive and supportive work environment.
- Provides exemplary level of service to staff and leadership, listens, acts and follows through.
- Works closely with other team members and departments through projects, task forces, etc.
REQUIRED EDUCATION:
- Two to Four years of Human Resources experience with a strong understanding of employment law; other government compliance regulations preferred.
- Bachelor’s degree or equivalent experience in Human Resources roles.
LICENSES/CERTIFICATES REQUIRED:
- Preferred PHR or SHRM-CP Certification.
REQUIRED EXPERIENCE/ABILITIES & QUALITIES:
- Previous Human Resources experience, preferably in non-profit organizations.
- Ability to communicate skillfully and effectively with a culturally diverse staff, volunteers and community in a professional, pleasant, respectful, and tactful manner at all times.
- Demonstrated consulting skills, empathetic listening skills and service-oriented approach.
- Highly effective written and verbal communication skills.
- Independence, works with minimal supervision and direction.
- Highly organized work style, with attention to detail
- Exhibits professional maturity and ability to maintain confidentiality.
- Ability to consult, recommend, partner at all levels, departments and functions across the organization.

WORKING CONDITIONS:
General office environment. Potential hazards are exposure to eye, back and neck strain, frequent fluctuating temperature changes, constant noise and interruptions. Possible exposure to zoonotic diseases (diseases that can be transmitted from vertebrate animals to people), animal dander and noise.
