Description
Menlo School is looking for a Performing Arts Event Coordinator to support events across the school campus, coordinate the usage of the school’s performing arts center, and oversee the ticketing and front-of-house operations of the performing arts center.
This is a year-round, part time (60% FTE), non-exempt position. The daily schedule is 10 a.m. to 3 p.m.
Primary Responsibilities
Under the direction of the Production Manager, responsibilities include but are not limited to:
- Receive, coordinate, help approve, schedule, and plan event requests and scheduled events primarily in the performing arts center.
- Promptly determine the feasibility of new event requests with existing activities in the performing arts center.
- Gather all requirements, timing, details, A/V tech, chairs, tables, podium, and other necessary equipment.
- Be the primary point of contact, and the primary on-site tech for non-arts events, this includes, classes, speakers, rehearsals, movies, awards shows, meetings, parties, and other events.
- Physically set up A/V and tech requirements, check and pretest mics, video, sound, and lighting.
- Assist organizers and presenters with tech, and run audio, video, and lighting as needed.
- Post-event cleanup, restoring space, tech, and returning equipment is required.
- Other responsibilities include managing the box office, ticketing, front-of-house operations and being the primary point of contact available during ticketed shows for all Performing Arts and other events that use the performing arts center ticketing system.
- Train students, staff, parents, and volunteers in the use of the ticketing system and front-of-house procedures.
- Coordinate events so as to ensure there is a trained technician scheduled for the tech needs and capable to run the ticketing and front of the house.
- Represent the values of the school with a calm, capable, can-do attitude ensuring each event is an unqualified success and is clean, clear, and professional.
- This person will work closely with the school receptionist, technical director, contractors, and staff, including students, parents, and the public in a variety of formats, supporting differing complex events.
Required knowledge, skills, abilities and experience include but are not limited to:
- Knowledge and experience working with sound, lighting and A/V equipment.
- Ability to set up and operate sound, lighting, video, and stage equipment.
- Ability to interface with a variety of people, collaborate, plan, and execute events.
- Excellent diagnostic and testing skills, mixing audio, routing and patching audio feeds.
- Working well under pressure, with immediate deadlines and last-minute changes.
- Repair, clean, and maintain equipment, and report issues and problems with equipment.
- Ability to master ticketing software, ticketing events, and setting up ticketing procedures.
- Minimum HS diploma. Bachelor’s Degree preferred.
- A minimum of 3 years of related and relevant experience

Pay range:
In the spirit of pay transparency we share the base salary range for this position for the 2023-2024 academic year. The full pay range, which encompasses all experience levels is $30.00 to $45.00 per hour. Within this broad range, we pay each employee in accordance with what could be reasonably expected based on an individual’s experience level. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
