Examples of Duties
As a member of the Administrative Support Unit in Business Operations Division, position(s) will provide a variety of clerical and administrative support to units in the division.

Position(s) primarily provide clerical support to the Communications, Mailroom, Supply, Central Records, Transportation and/or Finance sections. Position responsibilities may include but are not limited to

  • utilizing strong communication and customer service skills to effectively interact with customers, staff, and outside agencies
  • answering all incoming calls quickly
  • courteously screening and guiding customers and calls to the proper department, worker or other agencies
  • possessing detailed knowledge of specific tasks
  • receiving, preparing and scanning documents and mail into the electronic case management system
  • reviewing purchase orders and invoices to ensure accuracy
  • analyzing and verifying transactions and documents
  • receiving, distributing, and processing all agency mail

Individuals in these positions should have basic knowledge of Microsoft Office Suites, strong communication skills, excellent customer service skills, and the ability to flexible, as tasks may fluctuate with notice. Additionally, the ability to lift 10 to 50 pounds as frequent lifting may be required. Position(s) will crossed train within other Processing Assistants in the Business Operations division to ensure coverage assistance is available as needed.

This position is required to assist in emergency and disaster situations, as needed per “Cumberland County DSS Policy”.
Minimum Qualifications
MINIMUM EDUCATION & EXPERIENCE REQUIRED: Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office assistant/secretarial experience; or an equivalent combination of training and experience.
Knowledge, Skills and Abilities
KNOWLEDGE, SKILLS AND ABILITIES: General knowledge of office or work unit procedures, methods and practices. General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; ability to proofread. General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment. Ability to learn and apply a variety of guidelines. Ability to use a variety of office equipment. Ability to work with people with courtesy and tact. Ability to screen communications based on predetermined guidelines to independently respond or route inquiries. Ability to record and compile information based on general guidelines. Ability to gather and give information and instructions regarding the work process or procedures. Ability to balance and reconcile figures. May require ability to coordinate work of other support staff, student workers or volunteers. Ability to learn to use specialized office equipment.

The employee in this position will be operating motor vehicles for Cumberland County and shall have a valid North Carolina Driver’s License.
