DESCRIPTION

To perform varied administrative processing duties to coordinate and arrange transportation services for recipients of Medicaid and BARTS. An employee in this class performs routine to moderately complex clerical and customer service duties coordinating and assisting eligible clients to arrange and purchase transportation to and from eligible appointments. Work is performed under general supervision and is evaluated on the basis of attainment of specific performance objectives, personal observation, periodic conferences and analysis of work completed

DUTIES

  • Answers the telephone; provides accurate information and assistance; retrieves client requests for transportation assistance from voice mail.
  • Maintains Medicaid and BARTS transportation case files and usage reports and responds appropriately to clients.
  • Ensures agency transportation policies are followed.
  • Enters and updates client information on computer record-keeping system.
  • Types, proofreads and maintains records and reports; sets up transportation files and delivers or faxes vouchers to local providers when time does not allow mailing.
  • Schedules daily transportation appointments by lunch time each day and forwards schedule to the county transportation provider.
  • Responds to emergency situations where a client is in need of immediate transportation to an appointment.
  • Maintains case documentation; verifies eligibility by interviewing clients to obtain necessary information; conducts computer searches to verify Medicaid and BARTS eligibility.
  • Completes assessment of client’s transportation needs; arranges transportation; completes notice for client and documents the case record.
  • Operates a variety of equipment, which includes a computer, printer, typewriter, fax machine, copier, telephone, calculator, paper shredder, etc.; uses clerical and computer supplies.
  • Interacts and communicates with various groups and individuals such as the immediate supervisor, co-workers, other County personnel, clients, and the general public.
  • Attends meetings, training, workshops, etc., as required to enhance job knowledge and skills.
  • Provides clerical assistance to other divisions as requested.
  • Staffs emergency / disaster shelters and assists with other department activities as requested.
  • Performs related duties as required.

  • Knowledge of the methods, policies and procedures of the Department and County pertaining to specific duties of the Processing Assistant III.
  • Knowledge of modern office practices and equipment.
  • Knowledge of proper English usage, vocabulary, punctuation and spelling; has knowledge of basic mathematics.
  • Ability to comprehend, interpret and apply regulations, procedures and related information.
  • Skilled in applying responsible attention to detail as necessary in preparing records and reports.
  • Skilled in good organizational, customer service, bookkeeping and clerical activities.
  • Ability to adjust to sudden changes in work duties and procedures; be flexible and able to handle interruptions efficiently.
  • Ability to work well under pressure and while meeting daily, weekly and monthly deadlines.
  • Ability to read and interpret various materials pertaining to the responsibilities of the job.

EDUCATION AND EXPERIENCE REQUIREMENTS

Requires a high school diploma or GED supplemented and two years of clerical experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Preferred: Associates Degree in Accounting, Office Systems Technology, Information Systems, Business Administration, or Data Processing with at least two years of experience in a position that required the ability to effectively comprehend and communicate verbally and in writing.

Retirement
We participate on the N.C. Local Government Employees’ Retirement System. Employees are required to contribute 6% of gross wages toward their account.
401(k) and 457 are supplemental retirement plans administered by Prudential.

Vacation Leave
Employees accrue annual leave monthly and may use accrued leave upon approval after the probationary period is completed. Years of service transferred from eligible NC Governmental Agencies (written documentation required) and the employee’s work schedule are used to determine the rate of earning.

Petty Leave
Employees earn fourteen (14) hours per calendar year. May use in increments of 15 minutes. Leave is pro-rated based as of date of hire in the first calendar year of employment. Petty leave must be used within the calendar year.

Longevity Pay
The County offers longevity pay to employees with 5 years of continuous service.
