Job Description:
Responsible for advising and supporting student activities board, GatorDays, and management of department programming for the student and campus community.
- Responsible for advising department sponsored student activities board, GatorDays, which includes programming, fiscal management, contracts, risk management, promotion, program implementation, and training of student membership and volunteers
- Ensure student participation and input in all phases of program development and implementation
- Interpret and ensure compliance with appropriate university policies and guidelines related to general regulations and procedures, students, student organizations, safety, and event management
- Assist in the development and implementation of appropriate policies, procedures, and guidelines for engagement programming and related processes
- Responsible for overseeing and/or coordinating space reservations, securing necessary event supplies and rentals
- Responsible for developing a strategic schedule for events for academic year that aligns with department mission, supports initiatives, and encourages co-sponsorship between organizations
- Manage all aspects of performer contracting process (e.g contract negotiation, preparation, and management)
- Responsible for department programming budget planning, monitoring, and oversight for areas of responsibility (e.g. student activities board)
- Analyze data, and compile reports to support or inform management decisions and unit goals related to programming and student activities board.
- Responsible for developing and maintaining collaborative relationships in programming efforts with other UF departments, student organizations, or academic units
Assist the Department of Student Activities and Involvement (SAI) in its efforts to provide support, advising, training, and oversight to ensure effective and comprehensive campus programs, events, and traditions at UF.
- Support GatorNights, Student Government Productions, ACCENT Speaker’s Bureau, Class Councils, Signature Events and other departmental campus events as needed.
- Directly advise one of the Class Councils in all aspects of planning and executing class-wide events and campus traditions
- Advise other designated student organizations and committees in the development and implementation of social, educational, and cultural programs such as concerts, lectures, films, and special events for UF students.
- Assist with major campus-wide events as assigned (e.g., Great Gator Welcome, Homecoming Events, and Gator Growl).
- Advise student leaders in all aspects of event programming including but not limited to idea development, budgeting, planning, advertising and promotion, program implementation, and program evaluation.
- Interpret university policies for students and student organizations relating to the management of programs, contracts, safety, liability and risk management, and fiscal management.
- Assist the departmental initiative to develop and support large scale campus events and traditions through the Signature Events program.
- Serve as a resource for event planning and management for students, staff, and faculty as needed.
- Serve on the Event Support Team, volunteering at events outside of the department as appropriate.
- Assist with budget planning, monitoring, and reporting for events.
- Assist in developing and maintaining collaborative relationships in programming efforts with other UF departments, including academic departments.
Assist with administrative functions of the Student Activities and Involvement and the Campus Events and Traditions area.
- Develop, conduct, and analyze research and assessments for various programs and services of the Department of Student Activities & Involvement including but not limited to programming needs assessment, effectiveness of programs and services including outcomes assessment and student satisfaction.
- Contribute to the development and implementation of a comprehensive marketing and promotions strategy for the services and programs of the Department of Student Activities and Involvement.
- Assist with budget planning and reporting. Maintain accurate and up-to-date financial records and ensure proper procedures, controls, and financial guidelines for all areas including organization expenditures.
- Co-supervision of the Student Activities and Involvement Front Desk.
Contributes to the Division and University through active participation on committees and division-wide initiatives (example opportunities: emergency dean on call, event support team, conduct committee, student welcome events, etc); and, other duties as assigned.
Expected Salary:
$48,000
Minimum Requirements:
Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of relevant experience.
Preferred Qualifications:
• A Master’s Degree in Higher Education, College Student Personnel, or comparable field or a Bachelor’s in an appropriate field and 3+ (three) years relevant experience
• Demonstrated experience in advising students and working with event planning and student organizations at the college or university level
• Demonstrated planning, organization, and communication skills (verbal and written).
• Demonstrated ability to handle multiple projects or tasks simultaneously.
• Demonstrated knowledge and proficiency with computers and basic software applications.
• Demonstrated a commitment to creating an inclusive environment through strong interpersonal skills and ability to work in a multi-cultural environment.
• Demonstrated experience working with campus activities boards.
• Demonstrated knowledge and skills in marketing and promotions.
• Demonstrated knowledge and experience in budget development.
